The secret? Turn your regular Google Calendar into an AWS pipeline with the Calendar Invite Server.

1. Your Calendar Client is a Database in Disguise.

From 30 Files to 2,400 Interactive Events

Scaling a digital experience for a project as vast as the 2026 MLB season requires a sophisticated approach to ETL (Extract, Transform, Load).

We began with 30 individual .ICS files—each a siloed 162-game schedule—and aimed to transform the first 2,400 games of the cycle into a dynamic master database.

The architectural secret sauce?

A fascinating quirk where games are forwarded to a dedicated Email Box for ETL & storage. By sending these events to create@calendarsnack.com, the system extracts game data from a local Google or Outlook Calendar and loads it into an AWS pipeline. This process is run by an AI operator.

It houses the initial schema—game titles, dates, and times—that is waiting for ingestion. This approach treats the local client as a familiar, low-friction entry point for massive datasets, turning a simple interface into a powerful administrative staging area.

2. The Magic of the “1-Click” RSVP

The holy grail of digital marketing is the removal of friction.

Consider “Mandy,” a fan who just wants to stay updated. She doesn’t want to hunt through her inbox or manually type “1:10 PM vs. Yankees” into her phone.

She finds the MLB game, enters her email at the top of the page, and clicks one button to have the calendar invite sent to her.

Behind the “Send Invite” button on the schedule page sits a powerful REST API.

Specifically, API #1 reassembles outbound calendar data on-demand the moment the endpoint is called: /event/[uid]/invite?email=[invitee email]&name=[invitee name]&origin=[text]&landing=[url]

By leveraging a Unique Identifier (UID), the system reassembles the specific game data and fires a personalized invitation instantly.

This 1-click experience moves the event directly into the user’s personal life, transforming the calendar into a high-priority communication channel.

3.The AWS Engine: CRUD to the Cloud

The technical backbone of this transformation is a robust AWS stack. Utilizing SES for delivery, API Gateway for request handling, and Lambda for serverless processing, the system manages CRUD (Create, Read, Update, Delete) operations for thousands of invites simultaneously.

The most compelling aspect of this architecture is the “Remote Control” capability.

Because the server is synced to the organizer’s calendar, Greg (the organizer) can update a game time or location directly in his native Google Calendar workflow as CRUD.

The AWS backend detects the change and automatically pushes updates to the API content of the schedules and every fan who has the calendar invite with an updated one to thier inbox.

4.Data Collection of all RSVP’s from each Calendar Invite sent for each game from the schedule pages

This insures the calendar client data from your customer is collected and sent back for every event.

5.Turning RSVPs into Actionable Intelligence

In the world of standard email marketing, “Open Rates” are a vanity metric. In the world of Calendar Invite Server, we look for Actionable Intelligence. Through the Organizer Dashboard, we track not just who saw the message, but who committed their time.

The data reveals a story of deep engagement: with 296,907 total invites sent and a global RSVP rate of 30.3%, the scale is undeniable. Furthermore, we can track “Number of updates”—a vital data point for understanding league volatility and fan patience.

We also track precisely where the engagement originated, whether it was a Mailchimp campaign (24.4% of invites), Klaviyo (15.7%), or a direct API call from schedule pages (30.3%).

Conclusion: The Future of Attendance

The inbox has become a noisy, cluttered battleground where messages go to die. The calendar, however, remains deployed across 1 billion users a day—it is the one place where users actively manage their most precious resource: time.

By automating the distribution of 2,400 games, the MLB 2026 project proves that “owning the slot” is the new frontier for brand loyalty.

This technology isn’t limited to sports; it’s the future for concert tours, academic schedules, and recurring corporate events. The inbox is where the conversation starts, but the calendar is where the action—and the attendance—actually happens.

The Add to Calendar button does not collect RSVP’s of Y,N, M when downloaded, and the event cannot be updated by the organizer once it’s on the customer’s calendar.

Because the Add to Calendar button is generated and used for millions of events a day, it has become the standard workflow for event registration and reminders.

It is used in email and websites to “Mark Your Calendar”.

It is sometimes paired with the RSVP form to gather RSVP data independently of the .ICS is being downloaded.

These 2 steps are time-consuming for the customer and the organizer, creating friction and a bad overall experience, resulting in email reminders being sent for promotions, product launches, and post-registration to make sure “Its on your Calendar” .

Introducing the Calendar Invite Buttons

The Calendar Invite Button is a REST API with the Calendar Invite pipeline built in, usable in Email and Web use cases.

In this use case, when a customer enters their email address in the email field on the Sports Event Page and clicks a button, they receive a calendar invite for an NBA game.

The data is collected for Y, N, or M when they receive the calendar invite in their inbox and calendar client.

The Calendar Invite sent to the customer can be updated by the organizer to reflect changes to promotional offers, such as tickets, merch, and third-party insertions, before or during the event.

Organizer calendar invite event data is tracked and gathered in the reports.

Auto Generated Event Pages

The pages are auto-generated and formatted using a set of workflows and APIs that are part of the Calendar Invite Server packaged solution.

The calendar invite buttons for the individual sporting events are automatically injected into the pages.

Configuring the Sporting Events Page

The Multi Event configuration page helps the organizer determine the layout for Single or Multi Event, and how the Sporting Events should be visually laid out with colors, dates, and Optional Logos and background URLs.

When completed, the Sport Events page generates a shareable URL for your customers.

The compiled workflow looks like this when moving from the Organizer View to the deployed shared page, where the customer can select and receive calendar invites sent to the email address they insert into the Sport Event page.

RSVP Data Collection

When a customer selects a Y, N, or Maybe status in the Calendar Client, that data is sent to the API for collection and storage. If the customer changes their mind, the changes are captured until the event ends.

The workflow for the Sporting Event Page

1- Auto-generated Sporting event page is shared with the customer.

2- They insert their name into the email box on Sporting Page. Select the games by clicking one button to get the calendar invite.

3- Calendar Reciept RSVP information is gathered of Y, N, or M and sent back to the API for reporting.

4- A detailed report containing Y, N, M, and Email address can be sent to the organizer in a CSV file.

Getting NBA Data Into Calendar Invite Server

Nerd Alert - You may not be interested in this part.

Front End (FE) to Back End (BE). API’s and Workflow in AWS.

The tech stack is ready to be installed in any one of the millions of AWS accounts using a CloudFormation template that deploys the CI/CD pipeline for the Front End GUI, which is wired to the Back End (BE) Calendar Invite Server on AWS services.

The Back End (BE) Stack for the Calendar Invite Server includes 30 Functions and 9 APIs used for the Create, Read, Update, and Delete operations in the REST API pipeline for embedded calendar invite use cases.

Calendar Invites are sent from the Organizer's Calendar client to an email address determined by the Calendar Invite Server administrator.

In the demo, it is create@calendarsnack.com, which is a REST endpoint for processing Calendar Invite Event Data for the organizer.

The End Point attaches the organizer’s calendar invite event data based on the customers Email address from the Calendar Client.

The organizer’s email address becomes the User ID in the workflow for create, read, update, and delete for the CRUD workflows when communicating with the API.

The individual calendar invite UIDs for calendar events are stamped in the DB and tracked for New Events, Updated Events, and Canceled Event status.

If the Calendar Invite is changed by the organizer and resent back to the API, we match the status to keep track of the data.

The data changes are inserted into the DB so the APIs can pull the recent updates for display.

If a customer already has the Calendar Invite from the Sports Event Page and the Organizer makes an UPDATE or CANCEL to the event, the updated Calendar Invite is automatically sent to those who already have the previous one.

Example of Workflow of an Calendar Invite Update

The Calendar Invite update occurs for Merch, Tickets, or 3rd-party promotions.

It could also be an operational change, such as Date, Time, Location, or a Cancel, that needs to be pushed to all Calendar Invite holders on the list.

In the demo, our organizer Zach EDITS the Original Calendar Invite and UPDATES the Message Body with a “MERCH OFFER Booth 393 at the game 25% off only” message for the Denver vs. Timberwolves game, and SAVES in the Calendar Client.

This starts the UPDATE process because the Calendar Invite hits the same API endpoint as create@calendarsnack.com, which kicks off the workflow.

The Calendar Invite Event data is updated in the DB, and the API pulls the new data to the Sports Event page.

UPDATE Calendar Invites go out to all Customers that have received one already

Zack, the Organizer EDITS and Updates the event in his Calendar Client and SAVES the Calendar Invite and pushes the changes to the EMAIL API Endpoint for processing.

Because Mandy, the customer, got the first one from the Sports Events Page, she automatically receives the UPDATED one from Zack, the Organizer via API.

Calendar Receipt data is recollected and sent back to the API for the DB and reporting.

Reporting for the Organizer

The data is rolled up for individual events and all events for the Organizer using the API’s.

Reporting for the Domain Owner

All Calendar Invite Events processed by the API’s and used in Email or Sport Pages are tracked for all Organizers under the domain owner.

Generating the Lifetime Event Page for 1 Click

The Front End Stack

The Front End displays calendar invite data on web pages and in email as CTA codes for 1-click calendar invite sending and tracking.

The Calendarsnack Front End uses Vue.js, JavaScript, Arrays, Tailwind CSS, and HTML, along with APIs from the CalendarInvite server to display data and use the calendar invite messaging pipeline.

This is the design for visualization at scale that we have used for up to 2400 displayed events for MLB. So we know it will work in the 60-second Killer App version.

APIs

There are 4 Organizer APIs for single-event reporting and 1 for sending calendar invites when the 1 Click button is used.

There are 2 All Events for the Organizer: one that gathers all events into an array and one for all event statistics per Organizer.

The last 2 are for the Domain Owners, who gather all Organizer Data for Events and Statistics.

That is a total of 9 APIS for Organizer and Domain owners to gather calendar invite data.

These are available for your developers to build Calendar Invite solutions when you install the Calendar Invite Server and Front End Calendar Snack Kit.

The APIs, Domain, and Email reputation and security are all part of your AWS account. Our stack runs on AWS serverless and integrates with your AWS builders and operators.

Your designers can use the APIs and the Front End-ready Apps to build on those ideas for Email and Web scheduling solutions.

The Lifetime Event Page

Customer enters an email address at the top, selects the games with one click, and sends a calendar invite that is tracked and can be updated by the organizer.

The Organizer displays APIs used to generate the page using the VUE.JS framework, and a REST API that recreates Calendar Invites on the fly and sends and collects calendar receipts via the CTA Button labeled “Send Invite,” which triggers the UID-to-Email workflow in the background.

The Killer App Event Landing Page is proposed above in design, along with its implementation in Vue.js with APIs, a Color Selector, and a state-driven theme using buttons.

In this design generation, the proposal is to Land to this mini configurator if you have sent data to the calendarsnack gateway for ingestion.

Once that step is complete and the Organizer has data in the account for display, they head to this page to enter the email used in their Calendar Client to generate the calendar invite server data.

This takes the user to the Upcoming Events Landing Page, where the data is already in place to stylize colors, format content, and generate shareable social assets.

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized by Y, N, and M status.

If a status is updated by a customer, it is collected and updated in the Database for API consumption.

Populating the Calendar Invite Server with Data

Organizer Zack sends 1280 games to the inbound processing email inbox via his calendar client, ingesting the data into the calendar invite server (CIS).

The Inbound Processor is an SES API endpoint email address that triggers and completes the Storage, ETL, and DB functions for the Calendar Invite Data.

Organizers send data to the configured SES Mailbox to store, update, or delete data using the Calendar Client. This process creates a Mapped UID from the Calendar Client to the Calendar Event in the Calendar Invite Server and updates all data pulled for the API’s used to develop Multi-Event Mini Sites.

Details: Inbound data processor for the Calendar Invite Server

The calendar invite from Zack’s calendar client is copied to an AWS Simple Email Service (SES) email box from the organizer’s calendar client. In this demo, it is create@calendarsnack.com.

The calendar invite event data is disassembled and stored as a “NEW” Event in the DB, with a UID assigned to the organizer’s calendar client email address.

This attaches the organizer’s Email Address and event UID to the Calendar Invite Server Pipeline database to update or cancel the data using the Organizer’s Calendar Client if needed.

Updates using the organizer’s calendar client, such as “Edit and Save,” can occur an unlimited number of times before the event time expires using this workflow. Examples include changes to date, time, location, or message body. Or for promotional offers in the subject line, message body, or secret location.

Every time an edit and save are performed in the organizer's Calendar Client for that event, the data is sent to the Calendar Invite Server's Email Box for processing and database storage as an update. Cancel abides by the same workflow and can only be completed once. That data is not deleted from the database; it is marked as canceled.

Same Calendar Invite Server APIs are used to generate the stock NBA schedules and the custom event schedule

There are 5 Single Organizer, Single Event APIs, 2- All Events Single Organizer APIs, and 2- System/Admin APIs for All Organizers / All Events.

These APIs are used to generate pages for NBA Game schedules and to auto-populate calendar-invite REST APIs into those pages for Single-Click Calendar Invite Sending and Tracking.

The Calendar Client uses CRUD operations to interact with the Calendar Invite Server to create, update, and delete data in the Inbound processor Email box for SES.

The organizer can validate and modify data in the calendar client using the auto-generated NBA Live Schedule Page as a test target.

Any data changed in the calendar client and saved or sent to create@calendarsnack.com is updated or deleted in the DB for APIs to pull content changes.

The same APIs are used to retrieve the same data for the same organizer account, but in a custom format: JSON definition files are used to retrieve logos and provide demo data.

The Outbound Processor

The stored Calendar Invite data is called using the Calendar Invite Send Rest API Endpoint.

This REST API is used to send Calendar Invites for RSVP Buttons (e.g., Mailchimp), embed Calendar Invites in Sports Schedule Web Pages, and embed the API in a GUI Picker for selecting and sending Calendar Invites to an email List.

In all cases, the API matches the Email collected to the Event UID stored in DynamoDB, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW to the email address.

The calendar receipt is requested from the customer’s calendar client, retrieved, and sent to the API gateway, where it is stored in S3 and then processed in DynamoDB for Analytics and decision-making.

Whenever the organizer changes data in the calendar client, the changes are sent back to the server and updated.

Calendar Invites Sent by Outbound Processor

API #1 is auto-embedded into CTA buttons in Web Pages and Email Marketing software using our technology stack: API #1 Send Calendar Invite Endpoint: /event/[uid]/invite?email=[invitee email]&name =[invitee name]&origin=[text]&landing=[url].

On the Stock or Custom Game Schedule pages, the organizer's event array is sorted, styled with Tailwind, and displayed according to the design, with API #1 embedded to send one-click calendar invites to the email address provided in the email box.

APIs #2 and #3 are used to populate the schedule page data, along with API #1.

The Update Processor Logic

The Update Processor encompasses the logic implemented in the functions that automate sending updated or canceled calendar invitation messages from the Organizer’s client to the Inbound processor for a previously created calendar invite. Another way to look at it is that if the record for the UID is in the DB for a future event, the function knows this is an updated Calendar Invite Request. If so, it sends the newly UPDATED Event Information to the Outbound Processor, which uses AWS SES RAW to create an updated or canceled Calendar Invite package and send it.

The organizers’ data in the Dashboard and Landing Pages are also updated or marked canceled to reflect the current state of the Calendar Event UID using the REST APIs. Examples for the Organizer include Calendar Invite date, time, location, or message body changes for promotional offers, or canceling the calendar invite, that need to be sent after the customer has received the first calendar invite.

An Updated Calendar Invite is sent to customers who have received the first Calendar Invite and responded with ‘Y’ or ‘M’, based on the UID. Calendar Receipts are requested again and sent back to the API gateway for Y/N/M responses for the updated Event UID. A Canceled Calendar sends a correctly formatted message that removes the calendar message from the Calendar Client GUI. This process is automated and requires no approval.

A workflow switch can be enabled to require manual approval before sending Updates or canceling calendar invites for the organizer.

Details on how the Calendar Invites keep the status of the customer prior to the event

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized for Y, N, and M statuses for each event UID.

If a status is updated by a customer in the calendar client, the new calendar receipt is sent back to the API gateway and collected and updated in the Database for API consumption.

Specific Technical details for each Calendar Invite include the following parameters generated for all Calendar Invites sent by API #1 per the RFC.

Detailed Organizer Event Reporting

Event reporting for each UID includes the UID# generated and Calendar Client type used to create the event, Date, Time it was created, Event Details such as Title of Event, Date Start, Date End, Message Body, Location, and Google or Outlook Meeting URLs, and how many times the Event has been updated or canceled.

Then we collect which source channel API#1 was used, such as Web Embeds like Schedule Event pages or Email Marketing uses like MailChimp, SendGrid, or HubSpot.

The Events are selected from a picker of all events using API #2 and #3, with #5 used for the Report Button, which emails RSVP details to the Organizer for that event.

The platform’s primary value is its ability to rapidly convert calendar events into an interactive, shareable web presence. This is achieved through a simple, automated workflow for both event organizers and their customers.

Automated Landing Page Generation

The central feature is the system’s capacity to generate an “All-Events Landing Page” within 60 seconds.

• Trigger: An organizer creates an event in their Google or Outlook calendar and sends it to a pre-configured processing email address (e.g., create@calendarsnack.com). This address is configurable by the domain owner.

• Processing: The service processes all data components of the calendar event, including date, time, location, message body, and links for Google or Outlook Meet. It can process up to 2,000 individual events from a single organizer’s calendar.

• Within 60 seconds, the organizer receives an email notification containing two key links: a URL to the public, shareable event page displaying all future events in chronological order. A URL to a private reporting page for tracking analytics associated with their events.

Workflow for Event Organizers

1. Creation: Create single or multiple events using a standard Google or Outlook calendar client.

2. Submission: Send the calendar invites to the designated processing email address.

3. Distribution: Use the generated landing page URL in employee email signatures, on companywebsites, or as a Call-to-Action (CTA) button in email campaigns (e.g., MailChimp).

4. Monitoring: Access the private reporting page to track RSVP analytics and download customer email lists in CSV format for each event.

Workflow for Customers

1. Access: Visit the shareable “All-Events Landing Page.”

2. Registration: Enter their email address in the input box at the top of every page.

3. Selection: Browse the chronologically ordered list of events and select one or multiple events of interest.

1. Invitation: Click a single button (e.g., “Send the Invite” or “Get the Invite”) to have the calendar invitation sent directly to their registered email address and calendar.

Seamless Event Management

The system ensures that event management remains within the organizer’s familiar calendar environment.

• Updates: To change event details (date, time, location, message body), the organizer simply edits the original event in their calendar client and saves the changes. The system automatically reprocesses the event, updates the landing page, and sends a new calendar invite to all customers who previously responded “Yes” or “Maybe.”

• Cancellations: If an organizer cancels an event in their calendar client, the event is automatically removed from the landing page. A cancellation notice is sent to all customers who received the initial invite, and the event is also removed from their calendars.

• Unsubscribing: Customers can stop receiving updates for a specific event by responding “No” (RSVP “NO”) to the calendar invitation.

For the Event Organizer

To sign up, the customer simply enters their email and clicks a single button for the event they wish to attend. A calendar invitation is sent directly to their inbox—no confusing forms to fill out or files to download. This streamlined process replaces outdated and ineffective methods entirely.

It replaces the RSVP Form and .ical Download for Organizer and Customer which does not work, does not collect direct calendar receipts from customers and causes confusion for the customer when the downloadable .ical does not attach to the correct calendar client.

4. Track Real RSVPs Directly from Their Calendars

The system’s tracking goes far beyond just sending an invite. Once a customer responds to the invitation from within their own calendar client, the service monitors and collects that receipt.

For anyone who has organized an event, the process is painfully familiar. First, you build a separate landing page. Then, you wrestle with an RSVP form to collect sign-ups. Finally, you hope attendees remember to download the .ICAL file and manually add it to their own calendars. It’s a clunky, multi-step process for both the organizer and the attendee.

What if you could manage all of that, from event page creation to RSVP tracking, without ever leaving your calendar? A surprisingly simple method now exists that transforms a standard calendar invite into a complete, shareable event management tool, streamlining the entire workflow in about a minute.

1. Create an Instant Event Page by Sending One Email

The core of this method is its radical simplicity. An organizer creates an event in their native Google or Microsoft calendar, just as they normally would, and sends the invite to a single email address: create@calendarsnack.com.

To see how this works, let’s use a real-world example. An organizer, let’s call her Mandy, creates an event in her standard calendar application. The only unique step she takes is to invite a specific email address that functions as the system’s inbox. Using a service like Calendarsnack, this address is create@calendarsnack.com.

This action, which feels like sending a simple meeting request, is actually a secure API call. The email is received by an AWS Simple Email Service (SES) inbox configured to act as an inbound REST API endpoint, triggering a Lambda function that begins processing the event. Within minutes, Mandy receives a notification email confirming the event has been created and her shareable landing page is ready.

The create@calendarsnack.com email box serves as an Inbound Rest API Endpoint for processing Calendar Invitations by Organizers.

Behind the scenes, the system disassembles the calendar data and stores it in a database, assigning it a Unique Identifier (UID) linked directly to Mandy’s email address. This UID is the critical thread that connects the organizer, the event, the landing page, and all subsequent communications into a single, cohesive workflow.

2. A Single Invite Instantly Generates a “Living” Landing Page for Single Events and Multi Events

Within two minutes of sending that initial calendar invite, the system automatically generates a fully stylized, shareable landing page. All the essential information from the calendar entry is intelligently mapped directly onto this page, including the subject, date, start/end time, location, Google Meet/Zoom info, and details from the message body.

The most powerful feature of this page is that it’s “living.” It isn’t a static snapshot. If Mandy needs to change the time, add a promotional offer to the description, or correct a typo, she simply edits the event in her own calendar and saves it. The landing page updates automatically and in real-time.

Updating any data on the Landing Page is done from the Organizers Calendar Client using the same UID workflow. That is using the Calendar Client for that event and editing it and saving it.

This direct, UID-based link between the organizer’s calendar and the public-facing page ensures information is always accurate without any manual intervention or redundant data entry.

This is a necessary step; importing schedules for all 32 NFL teams results in 544 entries for only 272 unique games. She then manually removes the duplicate entries from her master calendar.

Once her master schedule is clean, she forwards the calendar events to a unique, designated email address provided by the Calendar Invite Server, such as create@calendarsnack.com.

This simple email acts as the trigger—an “Inbound Processor”—telling the server to ingest, process, and prepare the events for distribution. From that point on, her Google Calendar is her command center. To push an update, add a promotion, or change a detail for a game, she opens the event in her calendar, makes the change, and clicks “Save.”

3. Go Beyond Static Reminders with Seamless, Dynamic Updates

The key differentiator that elevates this method above traditional tools is the ability to automatically push dynamic updates directly to an attendee’s calendar. An “Add to Calendar” button creates a disconnected, static file. If event details change, the organizer’s only recourse is to send another email blast, hoping the customer sees it and manually updates their own calendar.

For example, a week before a big game, Mandy can edit the original event in her Google Calendar to add a promotion, like “Show this invite at the booth to get 20% off your team jersey!” When she saves that change, the update is automatically sent to every customer, like Zack the Sports Fanatic, who has already responded with a “Y or M status” (Yes or Maybe). Behind the scenes, the server intelligently tracks each version of the event, ensuring that every attendee receives the correct update without creating duplicate entries or confusion.

The simple schedule reminder on Zack’s calendar is instantly transformed into a timely, relevant, and actionable promotional opportunity.

The Story of building the NFL game schedule for the 272 Games

Arnie the Builder

The goal for Arnie the Builder is focused on developing a typical architecture for vertical industries based on Upcoming Events and the ability to use this as a template design for others to use for guidance on how embedded calendar invites can be used for customer communications, promotions, and a vehicle to get on the calendar first, promote directly to the calendar.

He is currently defining typical architectures for three main areas: Sporting Schedules, Technology Conferences, and Entertainment Venues. His NFL Mini Site is a demo platform he built using a framework of concepts that we will review in detail later in this document.

Mandy, the Organizer and owner of the NFL Promotion Site

The goal for Mandy is to offer NFL schedules on her website as an alternative engagement channel, allowing potential customers to select games and send themselves a calendar invite.

Think of it as the “Modern Day” equivalent of the Magnet that vendors give out for your favorite teams with a branded logo on it.

She tracks customers who have sent themselves calendar invites and engages with them by editing and updating the invites as needed before the event. She then resends the updated invites to those confirmed in a Y or M status.

In addition, she may offer promotions through calendar invite updates that are game-related, such as coupons, merchandise, or special events at the game.

Categories in the sports industry typically include team merchandise, tickets for current games or related events, food vendors within the stadium, and local businesses that promote their goods and services during the game.

Zack the Sports Fanatic Customer

Zack is a big fan of Mandy’s Sport Schedules, showing interest in the product, promotional offers, tickets, and vendors related to the NFL Game Schedule.

Alternatively, he may be an NFL fan interested in specific games and will enjoy the engagement of selecting and sending a calendar invite using Mandy’s Game Schedule.

Starting the Story off

We are going to start with Mandy the Organizer’s Point of View (POV) and then integrate Zack’s (POV) as the customer of Mandy’s.

Let’s assume Mandy, the organizer, gets access to Arnie the Builder's master VUE.JS template for the NFL custom mini site. She aims to utilize the Calendar Invite Server (CIS) to deploy the game schedule and upload the NFL game schedule, thereby attracting new customers and strengthening her relationships with current ones by offering the NFL mini-site on her branded main website.

Data Ingestion

Mandy, the Organizer, uses her Google Business account. She downloads the team's ICAL schedules from https://fixturedownload.com/sport/american-football and uploads them to her Google Calendar business account.

She then uploads the individual game calendars’ ICAL files into her Google Business Calendar Account. She does this by using the built-in functions of the Calendar Client for file import and export.

Specific to Google, she clicks on the System Gear icon and navigates to Settings, General, and Import & Export.

Under Import a File, the Import Option box allows you to select the calendar to import to. The "Select from your computer" box icon will enable you to select a file from your computer for upload. Once you have completed this process for all the individual teams, the data will be ready for deduping.

Little History in Display Math and Dedup for Digital Calendars

NFL is 17 games X 32 teams = 544 in Total Display. Then divide 544 by 2 or 272 games to be displayed for the Schedule.

NBA is 82 games X 30 teams = 2,460 in Total Display. Then divide 2,460 by 2 or 1,230 games to be displayed for the Schedule.

MLB is 162 games X 30 teams 4,860 in Total Display. Then divide 4,860 by 2 or 2,430 games to be displayed for the Schedule.

NHL is 32 games X 32 teams = 2,624 in Total Display. Then divide 2,624 by 2 or 1,312 games to be displayed for the Schedule.

Deduping the games

This step is necessary because the game data for any uploaded game is built for a single team, representing a game schedule for the year, as they play against the opposing team. When displaying the year in your Google or Outlook Calendar, you will see the total games, including duplicates. To alleviate this, go into the schedule view and click a button to delete the duplicate games.

Mandy, the organizer, reviews her NFL master schedule and forwards the NFL calendar events to the Calendar Invite Server using the designated email address. In this demo, the email address is defined as create@calendarsnack.com.

This email box is the Inbound Processor that runs the Lambda Function workflows of taking the data from the Organizer’s Calendar Invite, disassembling it using the Functions, and storing the Calendar components inside the Dynamo DB for recall later when the Rest API is called for Outbound processing by matching the customer’s email to the UID for sending and tracking.

Mandy, the Organizer, sees 270 NFL Games in her Calendar Client after uploading, deduping, and sending them to the Calendar Invite Server for display and API Code generation.

The Data here is laid out for the 272 Games in Schedule View in Google or Outlook Calendar Clients. When she logs into the calendar invite server, she will see any data she sent from her calendar invite to the calendar invite server Inbound processor email address.

Any time the Individual Calendar Event data needs to be changed, Mandy can use the same Calendar Client using the Edit Function, to change location, date, time, subject, or add promotional information for products and SAVE to resend back to the Inbound Processor Email address.

What Mandy sees in the Organizer View of Calendar Invite Data in the Calendar Invite Server for the NFL Season.

Mandy the Organizer will see several pieces of data gathered from the individual Calendar Invite for the Event, as well as Calendar Invite Receipt data collected from the customers who respond to the Organizer for their current status in their Calendar Clients. This is the interaction of Y, N, and M in the customer’s Calendar Client.

This data is tracked for every customer who receives a calendar invite from the REST API, as each invite triggers a request for calendar receipts to the API Gateway.

In addition to the individual, she will see all event data sent to the Calendar Invite Server from her calendar client by using the designated email address that the domain owner of the Calendar Invite Server can configure. In this demo, the email address is create@calendarsnack.com.

This includes the time the Calendar Invite is sent to the Inbound processor email address, as well as the subject, Date, Event start and end times, Location, Message body contents (including any promotion offers or instructions), and agenda.

With this data set, we track the first creation date and map the Event's UID in the Database to the Organizer’s Email address of the Calendar Client. When the Calendar Invite is updated, the Calendar Invite Server adds a plus 1 to the Original and maps the previous one to the next one, and scores that into the database.

We then track and report that as Update X in the reporting calendar invite server reporting console.

Mandy, the organizer, accesses game data through the Calendar Invite Server Console, and that data is pulled with the same Rest APIs as the NFL Demo Site.

She can create, update, or cancel Games with her Calendar Client, and the data will be updated in the Calendar Invite Server Inbound processor, and the API’s will refresh the data.

In this Diagram, the Calendar Event data on Mandy’s Google Calendar was sent to the Calendar Invite Server, processed, and stored for use in both the Calendar Invite Console and the NFL demo Schedule site.

Let’s start when Mandy logs in to the Calendar Invite Server console.

The Event Organizers dashboard for the Organizer

This is the main viewing area for the Organizer. This dashboard pulls data from the Organizer’s 7 APIs and parses the data using JSON arrays to display the data in the Dashboard. It’s a fast and efficient way to display detailed data.

The Calendar picker pulls all data stored in S3 and DynamoDB.

It summarizes the information for All Events, New Events, Upcoming Events, and Past Events, categorized by the Organizer's Email Address in the Calendar Client. This allows the API to drill into an S3 Bucket, accessing specific calendar days to call and view event data back to the display pages.

The Upcoming Event view pulls the detailed data from S3 and DynamoDB.

It displays the Event Title, Start Date, Start Time, Invitation Total, RSVP Total, and Response Rate in individual event cards at this level for easy viewing. The Event Cards have a button that will drill into View Event Report.

Event Summary contains EVENT ID, Status, created by, Created on Date and Time, Last Update on Date and Time, Number of Updates to the Calendar Invite Event, Created With: what Calendar Client. It also contains a button to click to get the detailed Event Invitee email List to be emailed to the Organizer’s email address in a CSV format.

There is an option to include names and email addresses in the Calendar Invite Console; however, we chose not to do so on this demo platform due to concerns about personal information.

Sports Schedules can lead to better fan engagement and provide a means to communicate with fans about cross-promotions of tickets, merchandise, and game data.

1. Offering the game schedule makes your brand more interesting and a way to gather more customers through the use of email data collection, and in return, the customers get a calendar invite.

NFL Custom Demo Site for the 272 embedded calendar invites

Mandy promotes the NFL Schedule through her website, email campaigns, and partnerships with vendors involved in cross-event promotions.

Customers like Zack in this Demo scenario visit the Game Schedule website, select some games, enter their email address, and receive a calendar invite.

As long as Zack is on the website and has his email address in the email box, he can get the calendar invite with one click for a game.

Mandy, the Organizer, then tracks all her customers who have selected calendar invites for games on the Website and tracks them in the Calendar Invite Console.

Mandy edits the original calendar Event in her calendar client for that game and saves the Event. This sends the Update to the Inbound Processor email address and builds a new calendar invitation.

The invitation includes the promotional Jersey and a Booth Number in the message body, targeting those who responded with a "Y" or "M" to the first calendar invite. The Calendar Invite server logic automates this process.

Other Option for Mandy the Organizer to send calendar invites

Mandy could also use the Calendar Invite Server Rest API for Email marketing and Direct Calendar Invite Sending after gathering emails from the NFL promotions site.

Mandy adds the new email address gathered from the NFL Promotion Site to her MailChimp email marketing list to promote a possible calendar invite embedded in the MailChimp Campaign.

When a customer clicks the Call-to-Action Button, they receive the calendar invite, and the event is tracked and can be updated.

Example 2- From a Web Application Example above that can load up to 1000 emails into the browser from a Txt file, which allows for quick sending of calendar invites by allowing to pick from the 272 games in this example, selecting a specific game, and then confirming by typing YES into the Picker for final sending.

That MLB Data is sent to the AWS Calendar Invite server using a configured AWS Simple Email Service account and custom domain.

When you purchase the Calendar Invite Server, you can configure it to your needs using your current AWS SES domain. The Calendar Invite Server uses the AWS SES account you have already set up on AWS.

The novel idea here is to use an email account to AWS SES “Mail Box” hooked to S3 to start the data CREATE, READ, UPDATE and CHANGE processing from millions of calendar clients.

This process can be human driven, or automated with batch uploading to the AWS SES Box using crawlers or AI browsers.

Calendar Invite Dissasembly

The Organizer sends a Calendar Invite to an AWS email box, and the data is disassembled, assigned a UID, and stored on the AWS Calendar Invite Server for future calendar invite sending for transactional or marketing calendar invite sending.

Any change to the Calendar Invite event from the Organizer's Calendar Client is updated in the AWS Calendar Invite Server using the UID following the CRUD process.

In this example, #1 - Calendar Invites are selected for an MLB Game.

When a One Click Calendar Invite is applied by clicking the embedded Calendar Invite button in the automated landing page, a Calendar Invite UID is looked up, and a Calendar Invite is built on the fly and sent to the customer’s email address using the Calendar Invite Reassembly process.

The Calendar Invite solicits an RSVP response, and the RSVP data is collected in # 3 in the dashboard when a customer clicks Y, M, or N in their calendar clients.

Calendar Invite Server API’s

A couple of the highlights in the AWS Calendar Invite Server APIs.

API #3 gets the calendar invite UID, re-assembles the calendar invite, and sends it to the email address provided when using the automated Upcoming Events Page generator.

When the Calendar Invites are dispatched, they are tracked, and the data is displayed using API #6 and API #7 in the Data Collection Dashboard.

So first I synced my Outlook to the MLB for NY Mets.

That took about 3 minutes.

It looks hard — but it’s not.
We automate the whole process for you.
Sync the MLB Calendar Team to your Outlook account.
Then, use the create command to send the events you want for your Upcoming Landing Page to the calendarsnack service.

This is one option using the Calendar Sync which is an option with Global Sports event marketing.

The other is to use fixtures download site for ICS. This direct ingest into your Google or Outlook Calendar which we review in other blog posts.

Once these events are on the organizers calendar client then they can be copied to the CIS Ingest email box to register in the Calendar Invite Server Database.

When MLB Adds, Cancels, Updates the SYNC Engine those records autoflow to Calendarsnack Event storage and records are updated in the dashboard, Landing Pages Display and any calendar invites the MLB Fans sent to themselves for the specific Events to their personal Calendar clients from the Upcoming Event Pages.

VUE.JS and the Calendar Invite Server API’s built on AWS Server less for Calendar Invite Sending

1.The customer logs into the Calendarsnack App. The SIS APIs supplied for the Calendarsnack Service build out the VUE.APP in the browser that is in the CDN and starts the customer session.

2.Once customer provision’s the CalendarSnack Service the customer can proceed to the Dashboard.

3. The no-code Upcoming Landing Page in this example is selected on the left and can be configured using the push pins and toggle buttons. The shareable Upcoming URL can used in marketing campaigns for event selection and sending calendar invites to the email address in the box.

4. The ”add to calendar invite” API call is made to the API gateway to summon a calendar invite from the SIS storage layer for that event. Lamba assembles the calendar invite for SES transport. That includes proper encoding for mime type and multipart for a calendar invite.

5. The SIS UID Beacon is “listening” for RSVP receipts for that UID via API gateway and Event Bridge notification and is storing that data in S3 and Dynamo DB for API call reporting back to the Calendarsnack dashboard.

6. All Data for all events are stored for the individual UIDs of the calendar invites and aggregated for the Organizer to view out of S3 in the VUE.JS Dashboard that the Reporting API calls in the application. AWS Quick Sight is an alternative to the Vue dashboard.

The OEM edition will include all the tools to build out your own Killer Calendar Invite Apps

1. Use the create@calendarsnack.com command in Calendar Client. The calendar client sends a copy of the calendar invite to the Simple Email Service In Box to store the calendar message in its original form in the SES storage layer.

2. Event Bridge notifies Lambda to pick up a copy of the payload and disassemble calendar invite components of the message body, time start, time stop, UID, and location to store in S3 and Dynamo DB for reassembly in the next step.

3. The Lambda routine generates the Event UID for Dynamo DB and the Calendar Invite meta-artifacts.

4. Event Bridge notifies the UID Lambda to reassemble the Calendar Invite from S3 with the correct Encoded, MIME TYPE, Multi-Part payload for that Calendar Invite and to validate the EVENT UID from Dynamo DB.

5. Three ways to send a calendar invite using the Calendarsnack dashboard — In an Upcoming Landing Page Schedule List, a VIP LIST of email names, or an RSVP Button.

The events were automatically streamed to the calendarsnack landing page using a set of APIs we have developed combined with an application we built called calendarsnack to bring the idea to life.

The Landing Page sends individual calendar invites for the events displayed on the page by putting an email in the box at the top and selecting the events for which you want to receive the calendar invites.

How did I get the 100 events on my calendar without typing all the data in?

I synced my Outlook calendar to the MLB Preseason Schedule.

Then, I used the no code command of create@calendar.com in my Outlook Calendar Client for the individual games to auto-generate the data for the landing pages in 2 minutes in the Calendarsnack dashboard.

In this demo, I am considered the organizer of the event.

After sending any calendar invites to the email box of create@calendarsnack.com, I must register as the “organizer” for the calendarsnack service with the email address used.

AWS Calendar Invite Server Workflow

Built for scale, the Calendar Invite Server (SIS) by 31events can serve millions of calendar invites using an AWS Simple Email Service (SES) account.

The organizer sends the Calendar invite data to the calendarsnack dashboard, and the events are auto-formatted for calendar invite sending.

From the Upcoming Landing Page, the API passes the Calendar invite payload to an email address when called upon, as seen in the MLB landing page demo.

The Simple Invite Service gathers the calendar receipt data from the calendar invites sent from the landing page for the lifetime of the calendar event.

The organizer can change the calendarsnack dashboard, landing pages, and any calendar invites sent with the calendarsnack service using the original calendar invite on the calendar client.

Once the data is in your calendarsnack dashboard account, you can choose how you want the calendar invites sent through a Landing Page, a VIP LIST, or with our RSVP Button technology.

Getting calendar invite data into AWS

Calendar Invites sent to the calendarsnack

We disassemble the calendar invite from the organizer when it is sent to our AWS Simple Email Service (SES) Mailbox of create@calendarsnack.com and store it for sending calendar invites within the Simple Invite Service and the calendarsnack application.

We then package the calendar invite data for that event from the storage layer to be sent as a MIME Multi Part message specially configured for a calendar invite to be sent with AWS SES when called upon to the email address provided by the API.

We then track the calendar receipt RSVPs for that event and update or cancel the event all by using the calendar client as the “operator” of the Simple Invite Service.

If you have your own AWS account, we can pass the calendar invite payload to your AWS account, and you can send it with your AWS SES email domain.

We send the calendar invites in this demo through the landing page itself, and in this case, this calls the SIS API for that calendar invite to be sent to that event.

Once the calendar invite has been sent, we track the calendar receipt data from the customer for the status of Y, N, or M in the calendarsnack reporting Dashboard.

Think of it as having your Calendar Invite Server with AWS SES workflows when needed.

In this example, the AWS SES account is ours, called calendarsnack.com, which the sender owns.

The calendarsnack invite messaging layer uses the organizer's calendar client to auto-create a calendarsnack account on AWS infrastructure when you send it to our email box at create@calendarsnack.com.

That sets off the automation layer in the background, preparing the calendar invite data, including sending a notification to the organizer's email address that includes instructions in the email of the next steps for using the calendarsnack product.

At the same time, the calendar invite is ready to be sent in the calendarsnack dashboard under SEND in one of three ways: landing Page, RSVP Button, and VIP LIST.

The data from your calendar invite is stored in AWS and can be sent in three ways with the Calendarsnack application.

The API keys can be configured for your own SES accounts to transport the packaged calendar invites to be sent under your email domain in Route 53 and use your AWS SES configurations in AWS PinPoint for Email Lists.

You can add your background image and a logo by using the save image address and copy the URL into the configuration box as in this example.

I used this Copy Image address for this banner and copied it into the Upcoming Landing Page generator.

I then configured the Toggle Buttons to complete this phase, copied the clicked open page in a new tab, and captured the URL for promotions.

Once your customer inserts their email address at the top of the landing page and selects the individual events, they will receive the calendar invites in their email box to track.

Owning your RSVP domain for branding and sending calendar invites

The domain owner has access to all events.

The domain owner can access the calendar invite data by user and event in the main dashboard.

In this example, it is Calendarsnack.com and a free customer from a specific campaign using the RSVP Button.

Sending Calendar Invites in a permission based way is clearly a better way.
