4 Primary Use Cases of the Calendar Invite Server on AWS SES

The Calendar Invite Server automates the ingestion, sending, tracking, and updating of calendar invites for Humans and AI Agents across various use cases, using AWS Functions and the AWS SES messaging pipeline.

It ships as a CloudFormation template, auto-installs in your AWS SES account, and supports 11 APIs built for Developers, enabling 100s of use cases for AI and APP integration that can be programmed with the Messaging Pipeline’s 30 Lambda functions built in Python.

1. Embedded Events on schedule pages with Calendar Invite Buttons

In sports schedules, concert schedules, etc., the event pages are auto-generated directly from .iCAL ingest data and are ready in seconds for thousands of events.

The generated schedule page can be used as a standard scheduling app, allowing customers to enter an email address and select calendar invites to send with a single button click, or be used in an AI NLP search via an AI prompt to send calendar invites with a query by the human of the schedules, with an insertion of the email and a one-click in the NLP to get the calendar invite sent.

How- Visitors pick a time slot and receive an automated calendar invite upon clicking one button; calendar receipts are collected, and updates for merch and tickets are automated.

2. Email CTA buttons (MailChimp, etc.)

How - A ”Send Calendar Invite” or “Register Now” button is embedded in a marketing email. When the customer clicks the CTA, a calendar invite is sent.

3. Upload batch email list (browser)

How - An Event is selected from a list. A CSV email list is uploaded through a browser-based tool. The system parses recipient data, sends bulk calendar invites to all entries in the list for that event, and tracks the data, which can be updated.

4. Systems of record (CRM / ATS / ERP direct API)

How- Calendar invites are triggered automatically from a system of record (CRM, ATS, ERP) based on workflow rules or status changes — e.g., a deal advancing to “Demo Scheduled” fires an invite to all participants or Billing systems for invoices.

Level 1 Human-in-the-Loop automation - Create Calendar Invite Event with CRUD workflows that can be run from Outlook or Google Calendar Clients with a human-in-the-loop and AI workspace agents to automate use cases for the Calendar Invite Server Pipeline.

Update June 19th, 2026 - Getting Ready for AWS Marketplace

The Organizer creates, updates, and deletes Event Data on the Calendar Invite Server using their calendar client. The organizer can then select Sending Calendar Invites from Web Pages, Schedule Pages, Email Marketing Vendors, and Direct Lists in the web interface.

Use Case 1 – MLB Schedules

Walking through a Sports Campaign for the Organizer and a customer and picking up how the Display and Action API’s work.

The Inbound Processor

The Calendar Client uses the CRUD commands to communicate with the Calendar Invite Server to create, read, update, and cancel data, using the EDIT and SAVE commands.

Background for MLB Schedule on AWS demo.

Step 1.

greghanchin@31events.com is the organizer for the MLB schedule. He is using his calendar client to communicate with the calendar invite server and inject data into his Organizer account to build out the MLB 2500 game schedule, so he can promote them individually for merch and ticket offers that will be sent via the calendar invite server’s automatically built MLB schedule site. Greg uses the native functions of Google Calendar or the Outlook Calendar Client to organize the games and update the data as needed. Those Edits and Saves are reflected in the DISPLAY APIs that drive the Schedule pages shared with his customers.

CREATE@YOURDOMAIN.COM is the single Command for ETL, storage, and display APIs for calendar invite event data using the Inbound processor functions. He sends the 2500 Calendar Invites for the games from his calendar client using automation, via the create@yourdomain.com SES email box on your calendar invite server. His calendar client is the source of truth for his game schedule, enabling him to run promotions and merch offers using the UPDATE function.

INBOUND PROCESSOR details.

Steps 2 & 3.

The calendar invite from Greg’s calendar client is copied to an AWS Simple Email Service (SES) mailbox by the organizer’s calendar client for ETL, storage and retrieval. In this demo, the box is create@calendarsnack.com for the CRUD pipeline on AWS. The calendar invite event data is disassembled and stored as a “NEW” Event in the DB, with a UID assigned to the organizer’s calendar client email address. This attaches the organizer’s Email Address and event UID to the Calendar Invite Server Pipeline database, enabling the Organizer’s Calendar Client to update or cancel the data as needed. This creates a sticky UID for programmatic access.

Updates using the organizer’s calendar client, such as “Edit and Save,” can be made an unlimited number of times before the event time expires in this workflow. Examples include changes to date, time, location, or message body. Or for promotional offers in the subject line, message body, or secret location.

Every time an edit and save are performed in the organizer’s Calendar Client for that event, the data is sent to the Calendar Invite Server’s Email Box for processing and database storage as an update. Cancel abides by the same workflow and can only be completed once. That data is not deleted from the database; it is marked as canceled. (May 1, 2026V)

Select Schedule Page, Search by Organizer Email Address, Month and Color Layout, and add your Logo URL and Background image (Optional). You can also select a time sequence for displaying the data, which I did not do. This task completes the configuration operations for the MLB page.

The calendar invite message body or location can be used for creative promotions and updates to notify the customer. If they do say Y or M, they will receive UPDATED messages in the Calendar Invite to encourage them to attend the event, the booth, or the webinar.

Outbound Processor Details

The stored Calendar Invite data is called using the Calendar Invite Send REST API Endpoint. This API is used to send Calendar Invites for RSVP Buttons, like Mailchimp, to embed the Calendar Invite into Sports Schedule Web Pages, or to embed the API into a GUI Picker for selecting and sending Calendar Invites to an email List. In all cases, the API matches the Email from to the stored Event UID, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW. The calendar receipt is requested, retrieved from the customer’s calendar client, and sent back to the API gateway, where it is stored in S3 and then ingested into DynamoDB for Analytics and decision-making. Anytime the customer changes the data on the calendar client, it is sent back and updated.

The Workflow takes over, recognizes it as an UPDATE REQUEST, triggers the kickoffs, runs the Update functions to complete the calendar invite message ETL, updates the DB, and sends out an updated calendar invite if necessary.

The Update Processor includes the logic implemented in functions that automate sending updated or canceled calendar invitation messages from the Organizer’s client to the Inbound Processor for a previously created calendar invitation. Another way to look at it is that if the record for the UID is in the DB for a future event, the function knows this is an updated Calendar Invite Request. If so, it triggers sending the newly UPDATED Event Information to the Outbound Processor, which uses AWS SES RAW to create and send an updated or canceled Calendar Invite package to the customer. May 17 -2026

The organizers’ data in the Dashboard and Landing Pages are also updated or marked canceled to reflect the current state of the Calendar Event UID using the REST Display APIs.

Examples for the Organizer include Calendar Invite date, time, location, or message body changes for promotional offers, or canceling the calendar invite, that need to be sent after the customer has received the first calendar invite.

An Updated Calendar Invite is sent to customers who have received the first Calendar Invite and responded with ‘Y’ or ‘M’, based on the UID. Calendar Receipts are requested again and sent back to the API gateway for Y/N/M responses for the updated Event UID. A Canceled Calendar sends a correctly formatted message that removes the calendar message from the Calendar Client GUI. This process is automated and requires no approval.

There is a workflow switch that can be enabled, allowing for manual approval before sending out Updates or canceling calendar invites for the organizer.

The function extracts attendee details from an attached CSV file, validates the sender’s authorization, queues valid invites for processing, and notifies the sender of any issues.

API Gateway

A component of the calendar inivte server system that manages restoration of calendar data and send calendar inivtes to a UID and then acts as a “receipt collector” to ensure high-fidelity data collection from calendar receipts throughout the event lifecycle.

Calendar Invite Server

A sophisticated tech stack designed to manage event communications at scale by emulating the IETF protocol, enabling dynamic invitations, updates, and data collection.

Calendar Receipt

A confirmation message sent from a user’s calendar client back to the event organizer, indicating an RSVP status (yes, no, maybe). The traditional method cannot collect these.

Cross-Client Compatibility

The ability of a calendar invitation to be correctly interpreted and displayed across different calendar applications (e.g., Google, Outlook, Apple). Static ICS files have poor compatibility.

CRUD Engine

Stands for Create, Read, Update, Delete. In the server method, the organizer’s own calendar client acts as the CRUD engine for the master event.

Dropbox Logic

A term used to describe the middleware or processing engine in the server system that detects changes made to the master event by the organizer and initiates the calendar invite update process.

Duplicity of Work

Current Calendar Invite Server Install

CIS is deployed using a single shell script — calendarsnack.sh — that handles tool installation, environment setup, SAM publish, and CloudFormation stack deployment. The entire install runs in roughly 45 minutes on a fresh machine and AWS account.

Complete all steps in Prerequisites before starting here. All commands on this page run in a macOS Terminal or Linux shell — Windows users should run them inside WSL2.

On the repository names: The current repositories are named calendarsnack-*. These will be renamed when the CIS repository is repackaged. Everything described here is CIS infrastructure — the naming reflects the project’s history, not a different product.

Repository Layout

The script reads local SAM templates directly from the sibling repositories. All four repos must be cloned as siblings under the same parent directory before running anything:

Step 1 — Preflight

Preflight installs or verifies all local tools, stores the ACM certificate ARN in SSM, and validates the deployment environment. Run this first on any new machine or new account.

What happens internally:

1. Detects the local package manager (brew, apt-get, dnf, or yum)

2. Installs any missing tools: AWS CLI, SAM CLI, Python 3

3. Resolves Python 3.8 — installs 3.8.19 via pyenv if not present

4. Stores the ACM certificate ARN in SSM as /acm-certificate/blue.<your-domain>

5. Runs all environment checks and prints a preflight report

Bootstrap creates the local virtual environments and the two AWS S3 bucket stacks that the deploy process depends on.

bootstrap is optional if you prefer to go directly to full — that command creates everything in one pass. Running bootstrap separately is useful for validating the environment before a full deploy.

Step 3 — Full Publish and Deploy

This is the main deploy step. It publishes the local SAM applications to the AWS Serverless Application Repository (SAR), then deploys the complete CIS packaged stack using Sceptre.

What happens internally:

1. Verifies prerequisites and bootstrap resources exist

2. Reads the local SAM templates from the sibling repos

3. Creates temporary publish copies of those templates

4. Patches the copies with the requested SAR version

5. Runs sam build, sam package, sam publish for each app

6. Deploys the packaged stack with matching shared, event, and dashboard versions

On versioning:

SAR versions must be unique — the same version string cannot be published twice to the same account. Use semantic versioning (0.1.0, 0.1.1, etc.). If a version already exists, increment it.

The same version must be used for both publish and deploy in a single run.

Calendar Invite Server (CIS) Verify

CIS is a messaging pipeline. Events enter through your calendar client via ICS email, and all outbound delivery, RSVP processing, and event updates flow through the same infrastructure — SES, Lambda, DynamoDB. There is no built-in UI for creating or modifying events; your calendar client is the event source. That means verification requires exercising the full pipeline from the outside: a real calendar client, a live inbox, and the API confirming what CIS received and stored at each step.

CIS Verify is a web-based wizard that walks you through that process. It is not the only way to verify a CIS installation — you can perform the same checks manually against the API. What it provides is a structured, step-by-step path through the pipeline: eight steps, each targeting a specific layer, with a Results summary at the end.

CIS Verify is the bridge between a completed AWS setup and a working CIS deployment. Do not skip it — a passing run confirms every layer of the system, including parts that are difficult to test manually.

Prerequisites

Before running CIS Verify, confirm the following are in place:

• CIS is installed — Lambda functions deployed, SES inbound and outbound configured, DynamoDB table active

• DNS is configured — the create@<your-domain> inbound address is receiving email, the API endpoint resolves

• SES is out of sandbox — your sending domain is verified and can send to external addresses

• A CIS API key — with access to the /system/events endpoint

• A calendar account — Google Calendar or Outlook, with a working email inbox you can check in real time

Setup

CIS Verify runs entirely in the browser at cisverify.31events.com. No installation, no configuration files, no environment variables.

On first launch, the app walks through two screens before the wizard begins:

1. Preflight Checklist — six confirmation items covering infrastructure readiness. The first three are standalone checks: CIS is installed, your domain is reachable, and SES is out of sandbox. The final three are grouped as AWS SES Email Routing — one check per CIS address: create@ (inbound, requires an SES receipt rule with a Lambda or S3 action), rsvp@ (inbound, same requirement), and notification@ (outbound only, requires a verified SES sending identity — no receipt rule needed). Each item expands with plain-language AWS Console instructions. All six must be confirmed before proceeding.

2. Setup — enter your CIS domain (e.g. yourdomain.com), your API key, and select DEV or PROD mode. A Test Connectionbutton validates your API key against the live endpoint before you enter the wizard — the tested URL is shown below the button, catching a misconfigured key before you are ten minutes into the process. Back to Preflight and Reset Everything buttons are available at the bottom.

Your domain and environment selection are saved to browser localStorage for convenience across sessions. Your API key is held in memory only and is never written to disk.

Time Estimate

A complete verification run takes 15–20 minutes. Three of the eight steps require action in your calendar client, followed by a 15–30 second wait for CIS to process the incoming ICS through the Lambda pipeline.

The Eight Steps

Step 1 — Create Event

Manual

Create a future test event in Google Calendar or Outlook and forward it to your CIS inbound address (create@<your-domain>). The address is shown with a copy button. Check the box confirming you have sent it, then continue.

Confirms: Your calendar client can generate and deliver an ICS to CIS via email.

Step 2 — Confirm Event

API

The app queries the CIS API at all three levels — system, organizer, and event — to confirm CIS received and stored the event you just created. You select your organizer account and the specific event from the results. This step captures the event UID and baseline sequence number used in later steps.

Confirms: The SES inbound → Lambda → DynamoDB pipeline is working. All three API access levels are responding correctly.

Step 3 — Send Invite

API

The app calls the CIS invite endpoint with an email address you provide, triggering CIS to send a calendar invitation. The event name and date are shown for context. You confirm receipt in your inbox before continuing.

Confirms: The CIS outbound SES pipeline is working. Calendar invitations are being generated and delivered.

Step 4 — Check Stats

API

The app queries the event statistics endpoint and confirms CIS recorded the invite that was just sent (attendee count ≥ 1).

Confirms: CIS is correctly tracking invite delivery in its statistics layer.

Step 5 — RSVP

Manual + API

You respond to the calendar invitation from your email inbox. The app re-checks the event statistics and confirms the RSVP status was received and recorded by CIS (accepted + declined + maybe > 0).

Confirms: The RSVP response pipeline is working. CIS can receive and process calendar reply messages.

Step 6 — Update Event

Manual + API

You make a change to the test event in your calendar (title, description, location, or time) and save it, clicking Send when prompted to notify guests. The app verifies the event sequence number is greater than zero, confirming CIS processed the update.

Confirms: Event update processing is working. The sequence tracking mechanism is functioning correctly.

Step 7 — Send Report

API

The app calls the CIS report endpoint, which triggers an attendee report email to the organizer address on file. The from and to addresses are shown so you know where to look. You confirm receipt in the organizer inbox before continuing.

Confirms: Attendee report generation and delivery is working.

Step 8 — Cancel Event

Manual + API

You cancel the test event from your calendar client, choosing to notify guests. CIS receives the cancellation ICS, updates the event status to cancelled, and sends a cancellation notice to all attendees. The app verifies the status change and sequence increment, and you confirm the cancellation email was received.

Confirms: Event cancellation processing is working end to end — from ICS ingest through status update and outbound cancellation delivery.

Step 9 — Results

Summary

After all eight verification steps are complete (or skipped), the Results screen shows a per-step status:

• Verified — step completed and validated against the API

• Skipped — step was skipped without verification

A pipeline flow summary, share-to-clipboard function, link to the 31events docs, and a Reset button are also shown.

What a Passing Run Confirms

When all eight steps complete successfully, you have verified:

• SES inbound is receiving ICS files and triggering Lambda

• Lambda is parsing and storing events in DynamoDB

• All three CIS API levels (system, organizer, event) are returning correct data

• SES outbound is delivering calendar invitations

• RSVP responses are being received and processed

• Event updates are being processed and tracked via sequence numbers

• Attendee report emails are being generated and delivered

• Event cancellations are being processed and cancellation emails delivered

Your CIS installation is production-ready.

Sharing Results

The Results screen (step 9) includes a Copy to Clipboard button. The copied text is a plain-language summary suitable for pasting into Slack, email, or a ticket — useful when one person performs the install and another needs to confirm the verification was completed.

If individual steps were skipped, the summary reflects that. If a step fails mid-wizard, the same share function in that step captures the step name, API response, and validation details to help with troubleshooting handoff.

Privacy and Security

CIS Verify does not store, log, or transmit any personal information or API credentials. Your domain is saved to browser localStorage for convenience across sessions. Your API key is held in memory only and is cleared when you close or refresh the page. No data entered into this application is sent anywhere other than your own CIS API endpoint.

Calendar Invite Server Operator UI for Organizers and SES Domain Owner

CIS is infrastructure. Once your AWS installation is complete, the API is live — but there is no built-in interface to distribute invites, review RSVP data, or verify the pipeline is working.

The Operator UI fills that gap with a complete, fully functional Vue 3 application built directly on the CIS API.

The practical result: the path from a completed installation to sending your first calendar invite is under an hour. Every tool needed to operate CIS is included from day one — invite distribution across four send methods, RSVP and engagement reporting, and a nine-step pipeline verification wizard.

Teams go one of two directions from there. Some deploy the Operator UI as their primary interface — it covers the full operational workflow and can be rebranded at runtime without a code change. Others use it as the working reference they needed before building their own: how CIS data maps to a UI, how invite distribution is triggered across different send contexts, what the reporting surface actually looks like in practice. The Operator UI does not try to be the only answer — it may be more than some implementations need, or less than others want. It is a complete, working one.

The Three Hubs

The Operator UI is organized into three hubs, each targeting a different role. All three are available from the top navigation and the home screen.

Marketing Hub

The Marketing Hub is the primary tool for anyone sending calendar invites. It provides everything needed to build and distribute invites across email platforms, landing pages, and direct sends.

Tools in the Marketing Hub:

• CTA Builder — generates ESP merge-tag links for Mailchimp, Klaviyo, SendGrid, and others

• Landing Page — builds single-event invite landing pages with multiple layout options

• Upcoming Events Feed — builds a multi-event landing page showing your forward calendar

Intended users: marketing teams, campaign managers, event coordinators.

Reporting Hub

The Reporting Hub provides RSVP and engagement analytics across three data tiers: individual events, organizer accounts, and the full system. Each tier uses a dedicated API endpoint and returns aggregate breakdowns by RSVP status, send origin, and calendar client.

A one-click CSV report sends the full invitee list to the event’s organizer email address. No data is stored in the UI itself — all figures come directly from the CIS API at request time.

Intended users: operations managers, anyone reviewing invite and RSVP performance.

Developer Tools

Developer Tools gives the team running the CIS installation a set of technical utilities.

• CIS Verifier — runs a nine-step end-to-end pipeline test against your AWS instance, covering event ingest, invite send, RSVP, event update, report delivery, and cancellation

• API Explorer — a live endpoint explorer; call any CIS API endpoint and inspect the raw response

Intended users: developers and system administrators managing the CIS installation.

The Operator UI builds to a deployable dist/ folder — copy it to any static host and point a domain at it. It needs three things to function: your CIS domain, a standard API key, and an elevated admin key for system-level endpoints. See Installation for the full walkthrough.

Technology

This is the Vue 3 implementation. The stack: Vue 3 (Composition API), Vite, Pinia, Tailwind CSS v4, and Axios — written in JavaScript with no TypeScript dependency. Public-facing landing pages use DaisyUI v5 for theming; the operator tools use plain Tailwind with brand CSS variables.

React and Vanilla JS implementations are in development. Each will be available as a standalone download — pick the one that matches your team’s stack, follow the installation steps for that version, and the rest of the documentation applies equally across all three.

Installation

The CIS Operator UI is a Vue 3 web application — full source included. Getting it running requires one thing: a configured .env file. From there, pnpm dev runs a local development server and pnpm build produces a production-ready output for deployment to any static host. There is no database, no backend process, and no server to manage.

Prerequisites

The following is the fast path — what the project uses out of the box. Teams substituting their own tooling know what to do.

VITE_CIS_ADMIN_KEY An elevated key used exclusively for system-level endpoints (/system/events and /system/statistics). These endpoints return data across all organizers on your CIS instance and require a separate key with broader permissions.

Optional Variables

VITE_SITE_UID — enables runtime branding configuration (logo, accent color, page title, feature flags) without a code change or redeploy. Leave blank to use the app’s built-in defaults.

VITE_DEF_UID — enables a configurable ESP provider list in the CTA Builder. Leave blank to use the built-in defaults.

Development

To run the app locally against your live CIS installation:

Deployment

The CIS Operator UI is a client-side SPA. Any static host works. The only server-side requirement is that all routes return index.html — this is sometimes called “SPA mode” or “HTML5 history fallback.”

Netlify

A netlify.toml is included in the repository. Connecting the repository to a Netlify project and setting the environment variables in the Netlify dashboard is all that is required. Netlify handles the history fallback automatically.

Other Hosts

For S3 + CloudFront, Vercel, or a traditional web server: set the 404/error document to index.html, or configure a rewrite rule that directs all paths to index.html. The exact steps depend on your host.

Security Notes

The admin key has broad read access. The /system/events and /system/statistics endpoints return data across all organizers on your CIS instance. Deploy the Operator UI on an access-controlled URL — behind a VPN, basic auth, or IP allowlist — if your CIS installation contains sensitive event data.

API keys are not persisted. The standard API key is injected at build time via environment variables. The app does not write any keys to localStorage or cookies. A user who refreshes the connection panel must re-enter the API key.

Introduction to the Email Notification Playbook

The Calendar Invite Server (CIS) Email Template system is a platform for communicating with Organizers and Agents.

By decoupling technical delivery from design, teams can ensure the underlying infrastructure is sound before any customization is implemented into the email templates.

The notification infrastructure uses the core 9 CIS APIs with the custom workflow stack we built to route messaging notifications via SNS and SQS, and the CIS Lambdas to manage the Calendar Invite Server “Operations” for message creation, reading, updating, and deleting events.

The byproduct of this is the ability to send notification messages to Human Organizers and Agents using AWS SES RAW API, customizing the messages based on data needed from the Calendar Invite Server Database via the REST APIs.

In addition, the messaging logic built into the Lambdas can be modified if you want to do other “things”.

One of the most strategic aspects of a phased deployment is the ability to leverage “out-of-the-box” functionality.

Navigating Inactive and Conditional Templates

The CIS system encompasses a set of six notification emails, but not every template behaves the same way:

1. The Event Limit Template: The “Event limit” template is included in the package, but the feature is currently disabled in the codebase. In the codebase there is a “switch” that can be modified to by changed at the system or per user level. It can be turned on if needed if your are setting send limit parameters in the adminstrative setting for users and want a notification email to go out to a Human or Agent that the set limit has been reached.

2. The Conditional Template: The “Payment Enrollment” template is not a universal requirement. It applies only to deployments that include subscription or payment enrollment processing.

3. The Active Baseline: Standard notifications Templates such as the “Verification of Event” and “RSVP Report” email with the attached .CSV file, form the core of the operational system.

The Variables and the Values

While the visual style of a notification is flexible, the underlying data structure is immutable. System-injected variables are the critical hooks that pull real-time data into the email at “send time.”

To maintain system stability, these variables must never be renamed or removed. This rigidity ensures that regardless of how the template is customized, the system can always inject the necessary event and contact data.

Important: Treat these variables as protected system assets. Their removal will break the data link between the backend and the recipient being a Human or an Agent.

Specific Requirements -Trigger via Gmail/Outlook to the production endpoint. A trigger occurs when an Organizer or Agent sends a calendar invite from a calendar client to the AWS SES mailbox (via Gmail or Outlook) at the production AWS SES endpoint. That mailbox is configured in stock configuration as create@yourdomain.com. It could be configured as any email box name as needed in the AWS SES admin dashboard using the create@yourdomain.com Syntax.

Techincally it could be changed in the LAMBDA to accommodate whatever “AWS SES MAILBOX NAME” you configure in the AWS SES adminstrative dashboard if your development team wants to. Just so they match.

The process begins with 30.ICS files, each representing a team’s 162-game schedule, are being forwarded to a specialized ingestion point.

By forwarding the MLB schedules to create@calendarsnack.com using an AI to control the Calendar Client, the Calendar Invite Server API, and SES Inbox triggers another automated workflow that parses, validates, and stores each matchup, along with an assigned digital UID, for each game in DynamoDB.

The real technical breakthrough occurs at the point of interaction, where a traditional add to calendar link is replaced by a REST API-generated “Send Calendar Invite” button that is embedded into the schedule page for each game displayed.

This shift moves the technical burden away from the user and onto the API Gateway, which manages the request in real time by rebuilding the calendar invite using the AWS SES RAW API, performing a DynamoDB lookup for the Game UID, and building a Multipart message to send, track, and update a real calendar invite for the fan.

Take “Mandy,” a fan looking to follow the Tampa Bay Rays. Instead of managing files, she simply enters her email on the schedule page and clicks “Send Calendar Invite.” Within seconds, a native calendar invitation appears in her inbox, placing the brand directly on her most personal interface: her primary calendar.

This seamless experience is made possible by “Event UID” automation.

Because each of the 2,400 MLB games is indexed with a unique identifier in DynamoDB, the API can instantly reassemble and dispatch the correct event data to Mandy based on her specific request.

We began with 30 individual .ICS files—each a siloed 162-game schedule—and aimed to transform the first 2,400 games of the cycle into a dynamic master database.

The architectural secret sauce?

A fascinating quirk where games are forwarded to a dedicated Email Box for ETL & storage. By sending these events to create@calendarsnack.com, the system extracts game data from a local Google or Outlook Calendar and loads it into an AWS pipeline. This process is run by an AI operator.

It houses the initial schema—game titles, dates, and times—that is waiting for ingestion. This approach treats the local client as a familiar, low-friction entry point for massive datasets, turning a simple interface into a powerful administrative staging area.

Specifically, API #1 reassembles outbound calendar data on-demand the moment the endpoint is called: /event/[uid]/invite?email=[invitee email]&name=[invitee name]&origin=[text]&landing=[url]

By leveraging a Unique Identifier (UID), the system reassembles the specific game data and fires a personalized invitation instantly.

The AWS backend detects the change and automatically pushes updates to the API content of the schedules and every fan who has the calendar invite with an updated one to thier inbox.

The Add to Calendar button does not collect RSVP’s of Y,N, M when downloaded, and the event cannot be updated by the organizer once it’s on the customer’s calendar.

Because the Add to Calendar button is generated and used for millions of events a day, it has become the standard workflow for event registration and reminders.

It is used in email and websites to “Mark Your Calendar”.

It is sometimes paired with the RSVP form to gather RSVP data independently of the .ICS is being downloaded.

Introducing the Calendar Invite Buttons

The Calendar Invite Button is a REST API with the Calendar Invite pipeline built in, usable in Email and Web use cases.

In this use case, when a customer enters their email address in the email field on the Sports Event Page and clicks a button, they receive a calendar invite for an NBA game.

The data is collected for Y, N, or M when they receive the calendar invite in their inbox and calendar client.

The Calendar Invite sent to the customer can be updated by the organizer to reflect changes to promotional offers, such as tickets, merch, and third-party insertions, before or during the event.

Organizer calendar invite event data is tracked and gathered in the reports.

Auto Generated Event Pages

The pages are auto-generated and formatted using a set of workflows and APIs that are part of the Calendar Invite Server packaged solution.

The calendar invite buttons for the individual sporting events are automatically injected into the pages.

Configuring the Sporting Events Page

The Multi Event configuration page helps the organizer determine the layout for Single or Multi Event, and how the Sporting Events should be visually laid out with colors, dates, and Optional Logos and background URLs.

When completed, the Sport Events page generates a shareable URL for your customers.

RSVP Data Collection

When a customer selects a Y, N, or Maybe status in the Calendar Client, that data is sent to the API for collection and storage. If the customer changes their mind, the changes are captured until the event ends.

The workflow for the Sporting Event Page

1- Auto-generated Sporting event page is shared with the customer.

2- They insert their name into the email box on Sporting Page. Select the games by clicking one button to get the calendar invite.

3- Calendar Reciept RSVP information is gathered of Y, N, or M and sent back to the API for reporting.

Getting NBA Data Into Calendar Invite Server

Front End (FE) to Back End (BE). API’s and Workflow in AWS.

The tech stack is ready to be installed in any one of the millions of AWS accounts using a CloudFormation template that deploys the CI/CD pipeline for the Front End GUI, which is wired to the Back End (BE) Calendar Invite Server on AWS services.

The Back End (BE) Stack for the Calendar Invite Server includes 30 Functions and 9 APIs used for the Create, Read, Update, and Delete operations in the REST API pipeline for embedded calendar invite use cases.

Calendar Invites are sent from the Organizer's Calendar client to an email address determined by the Calendar Invite Server administrator.

In the demo, it is create@calendarsnack.com, which is a REST endpoint for processing Calendar Invite Event Data for the organizer.

The End Point attaches the organizer’s calendar invite event data based on the customers Email address from the Calendar Client.

The organizer’s email address becomes the User ID in the workflow for create, read, update, and delete for the CRUD workflows when communicating with the API.

The individual calendar invite UIDs for calendar events are stamped in the DB and tracked for New Events, Updated Events, and Canceled Event status.

If the Calendar Invite is changed by the organizer and resent back to the API, we match the status to keep track of the data.

The data changes are inserted into the DB so the APIs can pull the recent updates for display.

If a customer already has the Calendar Invite from the Sports Event Page and the Organizer makes an UPDATE or CANCEL to the event, the updated Calendar Invite is automatically sent to those who already have the previous one.

Example of Workflow of an Calendar Invite Update

The Calendar Invite update occurs for Merch, Tickets, or 3rd-party promotions.

It could also be an operational change, such as Date, Time, Location, or a Cancel, that needs to be pushed to all Calendar Invite holders on the list.

In the demo, our organizer Zach EDITS the Original Calendar Invite and UPDATES the Message Body with a “MERCH OFFER Booth 393 at the game 25% off only” message for the Denver vs. Timberwolves game, and SAVES in the Calendar Client.

This starts the UPDATE process because the Calendar Invite hits the same API endpoint as create@calendarsnack.com, which kicks off the workflow.

The Calendar Invite Event data is updated in the DB, and the API pulls the new data to the Sports Event page.

Zack, the Organizer EDITS and Updates the event in his Calendar Client and SAVES the Calendar Invite and pushes the changes to the EMAIL API Endpoint for processing.

Because Mandy, the customer, got the first one from the Sports Events Page, she automatically receives the UPDATED one from Zack, the Organizer via API.

Calendar Receipt data is recollected and sent back to the API for the DB and reporting.

The journey of a calendar invite server pipeline begins with the Inbound Processor.

Event Organizers use a Google or Outlook calendar client to send individual calendar events to the create@calendarsnack.com event drop box for processing.

This email box is configured by the domain owner for organizers to send events for ETL of event information into the storage layer.

This cements the email address in Calendar Invite Server as the organizer of record.

Any more events sent from the calendar client with that email address are ETL’d and stored in the DB for future use under that Organizer ID.

Those individual games UIDS are Outbound Processor to send calendar invites using the Rest API in Email, Landing Pages, and Apps for specific UID’s.

Calendar receipts are requested for each calendar invite sent and collected by the API gateway for reporting Y, N, and M.

But how does Zack automate loading of games to his calendar client?

These files are uploaded to Zacks Calendar Client via an interface that supports batch uploading based on an .ICS file format.

The downloaded game files are then loaded by using the administration panel: go to settings, then upload the teams using the IMPORT Button and selecting the file from your computer.

This “batch” of games comes in various sizes dependent upon the NFL, NBA, or MLB.

This process is straightforward and easy to complete.

An option is to create the individual team calendars in the Google or Outlook calenar client.

This creates a layered filter that keeps the teams organized by choosing teams by the check boxes on the left side and uploading season of games for the indivudal teams.

Once completed, this allows the Organizer see the NFL, NBA, and MLB game schedules and send game data to the email drop box with the Calendar Client.

The Calendar Client then becomes the CRUD operator to the Calendar Invite Server messaging pipeline.

This sets up a possible workflow for AI Calendar Client Operator to take over some tasks, such as “Hey AI, go into my calendar and find all the events for the NY Mets, and open up each one individually and send a copy to create@calendarsnack.com for auto page creation and calendar invite button insertion.”

How to get NBA, NFL and MLB game data into the Calendar Inivte Server

In this demo, Zach is the organizer, and Mandy is the customer.

So Zach is the Event Marketer, and Mandy is a Sports fan.

Create, Update, and Cancel: Zach, the organizer, sends a calendar invite for a single game to a specific AWS SES API email endpoint (create@calendarsnack.com). off of his calendar client to inject data into the storage layer of the calendar invite server.

We call this the email drop box for the Inbound Processor.

This drop box can be configured to any naming convention needed when the domain owner is installing the calendar invite server.

Using the Calendar Client and the Auto generated Landing Page to Validate Data

Zach uses the calendar client and the auto-generated event page to verify that the data is correct on the page.

The auto generated event page is a shareable landing page with all Upcoming Events for the Organizer.

Below are a stock Event page and a custom-built page for the NBA as examples that are auto generated with Organizer Event data using the APIs.

Each event appears in chronological order, making it easier for the organizer to reconcile event information using their Calendar Client and the auto-generated Events page.

If anything needs to be changed, it is easy: go into that game in the calendar client, open the EVENT, make the changes, and SAVE.

This resends the updated or canceled Calendar Invite information to the drop box to process.

This updates the API data and storage layers.

Share The Calendar Invite

If a customer has received the calendar invite already the calendar invite server will send out the UPDATED Calendar Invite or a CANCELED Calendar Invite message out and request or recollect new Y,NM data back to the API gateway.

Examples include UPDATING Calendar Invite information for PROMOTIONS messages in the Calendar Invite Message Body.

Mandy gets a calendar invite for a specific game by inserting her email into the box and clicking one button to get the calendar invite for that game.

The Killer App Landing pages are auto-generated using VUE.JS and a Framework and included in the Calendar Invite Server package that works with the 9 APIs.

How the APIs display Calendar Event Data and build out the Calendar Invite Buttons in pages

The Calendar Invite Buttons have the specific UIDS embebded into them with the supporting APIs that are used in displaying event data in the page.

This is all automated when you deploy the solution using the Front End App NPM and the Calendar Invite Server CloudFormation template.

When Mandy selects one of Events using the workflow the Calendar Invite or Multiple Calendar Invites are sent to the email address she inserted into the email box and any calendar receipt data is sent back to the API gateway for collection and analytics.

This data is stored and then analyzed in the reporting pages with the display APIs.

The Future of the Calendar Client, the Calendar Invite Server and an AI operator

OLD WAY EVENT CREATE: An administrative user sends a calendar invite to the drop box to create 1000’s of events.

NEW WAY EVENT CREATE: The browser operator for the Calendar Clients sends 1000’s of calendar invites to the Email drop box for ETL and Storage using the ready-made calendar invite server workflows, functions, and APIs.

This could create large, auto-generated, shareable event pages for global sporting events, all automated.

OLD WAY Landing Page Visualization - Hand-created, limited template pages.

NEW WAY Landing Page Generation - AI will give the Organizer the option to select background images and layouts prior to sharing the page.

Generating the Lifetime Event Page for 1 Click

The Front End Stack

The Front End displays calendar invite data on web pages and in email as CTA codes for 1-click calendar invite sending and tracking.

The Calendarsnack Front End uses Vue.js, JavaScript, Arrays, Tailwind CSS, and HTML, along with APIs from the CalendarInvite server to display data and use the calendar invite messaging pipeline.

This is the design for visualization at scale that we have used for up to 2400 displayed events for MLB. So we know it will work in the 60-second Killer App version.

APIs

There are 4 Organizer APIs for single-event reporting and 1 for sending calendar invites when the 1 Click button is used.

There are 2 All Events for the Organizer: one that gathers all events into an array and one for all event statistics per Organizer.

The last 2 are for the Domain Owners, who gather all Organizer Data for Events and Statistics.

That is a total of 9 APIS for Organizer and Domain owners to gather calendar invite data.

These are available for your developers to build Calendar Invite solutions when you install the Calendar Invite Server and Front End Calendar Snack Kit.

The APIs, Domain, and Email reputation and security are all part of your AWS account. Our stack runs on AWS serverless and integrates with your AWS builders and operators.

Your designers can use the APIs and the Front End-ready Apps to build on those ideas for Email and Web scheduling solutions.

The Lifetime Event Page

Customer enters an email address at the top, selects the games with one click, and sends a calendar invite that is tracked and can be updated by the organizer.

The Organizer displays APIs used to generate the page using the VUE.JS framework, and a REST API that recreates Calendar Invites on the fly and sends and collects calendar receipts via the CTA Button labeled “Send Invite,” which triggers the UID-to-Email workflow in the background.

The Killer App Event Landing Page is proposed above in design, along with its implementation in Vue.js with APIs, a Color Selector, and a state-driven theme using buttons.

In this design generation, the proposal is to Land to this mini configurator if you have sent data to the calendarsnack gateway for ingestion.

Once that step is complete and the Organizer has data in the account for display, they head to this page to enter the email used in their Calendar Client to generate the calendar invite server data.

This takes the user to the Upcoming Events Landing Page, where the data is already in place to stylize colors, format content, and generate shareable social assets.

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized by Y, N, and M status.

If a status is updated by a customer, it is collected and updated in the Database for API consumption.

Ready to deploy your own AWS RSVP Engine

The Project is ready for download into your own AWS account, complete with installation instructions for Front and Back end, and an optional CI/CD pipeline for developers and production for GITHUB.

Step 1. Pick the Event from the VIP List Interface, also known as BULK Sending of Calendar Invites to an authorized list.

Washington VS Indiana is selected for Round 16 on Feb. 19th in the picker.

When the “Use Event“ button is clicked, that Event is loaded into the Bulk Uploader Interface for sending Calendar Invites to a List.

The Bulk Uploader is now ready to upload a TXT or CSV file via the picker in the browser interface.

This list has been loaded into the browser app and is ready to send.

Send VIP Invites is selected, and the email list is sent to the Outbound processor, which includes the Lambas for the REST API.

The button triggers the OUTBOUND processor, which houses the Lambda Logic and workflow for the REST API that packages the Calendar Invite UID data, sends a correct Calendar invite via the AWS SES RAW API to each email address on the list, and REQUESTS a calendar receipt for tracking back to the API gateway.

The stored Calendar Invite UID data is used via the Calendar Invite Send REST API endpoint to send Calendar Invites.

This REST API is a multi-purpose API used to SEND Calendar Invites for RSVP Buttons (e.g., Mailchimp), embed Calendar Invites in Sports Schedule Web Pages, and embed the API in a GUI Picker for selecting and sending Calendar Invites to a bulk email List.

In all use cases, the API matches the Email collected to the Event UID stored in DynamoDB, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW.

The calendar invites are crafted to request a calendar receipt from the customer’s calendar client for each event.

Calendar Invite Receipt Data Collection

Every Calendar Invite sent from the Outbound Processor requests calendar invite receipts for collection, storage, and decision-making. The calendar receipt is sent back to the API gateway and continuously monitored until the event time for that UID. We follow RFC 1554, which specifies how to collect calendar receipt data across calendar clients.

The auto-generated game schedules are deployed by the organizer using the calendar invite server API’s.

The customer enters their email address, selects the games from the schedule with a single click, and receives a calendar invite for those games.

Populating the Calendar Invite Server with Data

Organizer Zack sends 1280 games to the inbound processing email inbox via his calendar client, ingesting the data into the calendar invite server (CIS).

The Inbound Processor is an SES API endpoint email address that triggers and completes the Storage, ETL, and DB functions for the Calendar Invite Data.

Organizers send data to the configured SES Mailbox to store, update, or delete data using the Calendar Client. This process creates a Mapped UID from the Calendar Client to the Calendar Event in the Calendar Invite Server and updates all data pulled for the API’s used to develop Multi-Event Mini Sites.

Details: Inbound data processor for the Calendar Invite Server

The calendar invite from Zack’s calendar client is copied to an AWS Simple Email Service (SES) email box from the organizer’s calendar client. In this demo, it is create@calendarsnack.com.

The calendar invite event data is disassembled and stored as a “NEW” Event in the DB, with a UID assigned to the organizer’s calendar client email address.

This attaches the organizer’s Email Address and event UID to the Calendar Invite Server Pipeline database to update or cancel the data using the Organizer’s Calendar Client if needed.

Updates using the organizer’s calendar client, such as “Edit and Save,” can occur an unlimited number of times before the event time expires using this workflow. Examples include changes to date, time, location, or message body. Or for promotional offers in the subject line, message body, or secret location.

Every time an edit and save are performed in the organizer's Calendar Client for that event, the data is sent to the Calendar Invite Server's Email Box for processing and database storage as an update. Cancel abides by the same workflow and can only be completed once. That data is not deleted from the database; it is marked as canceled.

Same Calendar Invite Server APIs are used to generate the stock NBA schedules and the custom event schedule

There are 5 Single Organizer, Single Event APIs, 2- All Events Single Organizer APIs, and 2- System/Admin APIs for All Organizers / All Events.

These APIs are used to generate pages for NBA Game schedules and to auto-populate calendar-invite REST APIs into those pages for Single-Click Calendar Invite Sending and Tracking.

The Calendar Client uses CRUD operations to interact with the Calendar Invite Server to create, update, and delete data in the Inbound processor Email box for SES.

The organizer can validate and modify data in the calendar client using the auto-generated NBA Live Schedule Page as a test target.

Any data changed in the calendar client and saved or sent to create@calendarsnack.com is updated or deleted in the DB for APIs to pull content changes.

The same APIs are used to retrieve the same data for the same organizer account, but in a custom format: JSON definition files are used to retrieve logos and provide demo data.

The Outbound Processor

The stored Calendar Invite data is called using the Calendar Invite Send Rest API Endpoint.

This REST API is used to send Calendar Invites for RSVP Buttons (e.g., Mailchimp), embed Calendar Invites in Sports Schedule Web Pages, and embed the API in a GUI Picker for selecting and sending Calendar Invites to an email List.

In all cases, the API matches the Email collected to the Event UID stored in DynamoDB, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW to the email address.

The calendar receipt is requested from the customer’s calendar client, retrieved, and sent to the API gateway, where it is stored in S3 and then processed in DynamoDB for Analytics and decision-making.

Whenever the organizer changes data in the calendar client, the changes are sent back to the server and updated.

Calendar Invites Sent by Outbound Processor

API #1 is auto-embedded into CTA buttons in Web Pages and Email Marketing software using our technology stack: API #1 Send Calendar Invite Endpoint: /event/[uid]/invite?email=[invitee email]&name =[invitee name]&origin=[text]&landing=[url].

On the Stock or Custom Game Schedule pages, the organizer's event array is sorted, styled with Tailwind, and displayed according to the design, with API #1 embedded to send one-click calendar invites to the email address provided in the email box.

APIs #2 and #3 are used to populate the schedule page data, along with API #1.

The Update Processor Logic

The Update Processor encompasses the logic implemented in the functions that automate sending updated or canceled calendar invitation messages from the Organizer’s client to the Inbound processor for a previously created calendar invite. Another way to look at it is that if the record for the UID is in the DB for a future event, the function knows this is an updated Calendar Invite Request. If so, it sends the newly UPDATED Event Information to the Outbound Processor, which uses AWS SES RAW to create an updated or canceled Calendar Invite package and send it.

The organizers’ data in the Dashboard and Landing Pages are also updated or marked canceled to reflect the current state of the Calendar Event UID using the REST APIs. Examples for the Organizer include Calendar Invite date, time, location, or message body changes for promotional offers, or canceling the calendar invite, that need to be sent after the customer has received the first calendar invite.

An Updated Calendar Invite is sent to customers who have received the first Calendar Invite and responded with ‘Y’ or ‘M’, based on the UID. Calendar Receipts are requested again and sent back to the API gateway for Y/N/M responses for the updated Event UID. A Canceled Calendar sends a correctly formatted message that removes the calendar message from the Calendar Client GUI. This process is automated and requires no approval.

A workflow switch can be enabled to require manual approval before sending Updates or canceling calendar invites for the organizer.

Details on how the Calendar Invites keep the status of the customer prior to the event

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized for Y, N, and M statuses for each event UID.

If a status is updated by a customer in the calendar client, the new calendar receipt is sent back to the API gateway and collected and updated in the Database for API consumption.

Specific Technical details for each Calendar Invite include the following parameters generated for all Calendar Invites sent by API #1 per the RFC.

Detailed Organizer Event Reporting

Event reporting for each UID includes the UID# generated and Calendar Client type used to create the event, Date, Time it was created, Event Details such as Title of Event, Date Start, Date End, Message Body, Location, and Google or Outlook Meeting URLs, and how many times the Event has been updated or canceled.

Then we collect which source channel API#1 was used, such as Web Embeds like Schedule Event pages or Email Marketing uses like MailChimp, SendGrid, or HubSpot.

The Events are selected from a picker of all events using API #2 and #3, with #5 used for the Report Button, which emails RSVP details to the Organizer for that event.

Automated Landing Page Generation

1. Creation: Create single or multiple events using a standard Google or Outlook calendar client.

2. Submission: Send the calendar invites to the designated processing email address.

3. Distribution: Use the generated landing page URL in employee email signatures, on companywebsites, or as a Call-to-Action (CTA) button in email campaigns (e.g., MailChimp).

4. Monitoring: Access the private reporting page to track RSVP analytics and download customer email lists in CSV format for each event.

1. Access: Visit the shareable “All-Events Landing Page.”

2. Registration: Enter their email address in the input box at the top of every page.

• Unsubscribing: Customers can stop receiving updates for a specific event by responding “No” (RSVP “NO”) to the calendar invitation.

Mandy is the Organizer.

She loads the 272 NFL games into the Calendar Invite Server using her Google Calendar client by sending them to create@calendarsnack.com. This is an API endpoint we call the Inbound Processor.

It is a bundle of processes for multiple organizers to drop off Calendar Event data from their Calendar Clients, for disassembly and storage for future use.

The Calendar event data is used by the Calendar Invite Server APIs to display event data in the analytics console and to support the messaging pipeline for sending, updating, deleting, and tracking Calendar Invites from the Rest API.

Mandy reviews the game data in her Calendar Invite Server Console using the Calendarsnack App.

She edits the NFL game events in her Calendar Client, which is attached to the calendar invite server, and saves them to the email address create@calendarsnack.com, which sends them back to the Inbound Processor for ETL and storage.

In this demo, the Calendarsnack App and NFL Demo App use the same APIs to drive data to their respective applications, using Mandy’s NFL demo game data.

Mandy shares the NFL Page with Greg a customer.

Greg reviews the games by clicking through the NFL schedule and selects the games from week 16.

He enters his email address and clicks the button to receive the calendar invites for four games that Sunday.

The Outbound Processor calls the Calendar Invite Messaging pipeline REST API, reassembles the calendar invite data for that UID, builds a calendar invite for that game, and sends it to the requester’s email address.

Greg gets the calendar invites to his email address and see’s them in his google mail and calendar clients as a calendar invitation.

He says Yes to a few and maybe to one.

The calendar receipt data is sent back to the calendar invite server API Gateway for calendar receipt collection storage and analytics.

The Outbound Processor is a Rest API that is embedded into the web pages of the custom NFL demo application sends, tracks, updates and deletes the calendar invites.

Above is the workflow of how the Calendar Invite Server API’s serve up the data collection from various calendar invite campaigns into the reporting displays for Mandy the Organizer using the CalendarSnack App.

Mandy navigates to the December 21st week to view the calendar invite campaign data collected from the calendar clients of customers for this particular day.
