The secret? Turn your regular Google Calendar into an AWS pipeline with the Calendar Invite Server.

1. Your Calendar Client is a Database in Disguise.

From 30 Files to 2,400 Interactive Events

Scaling a digital experience for a project as vast as the 2026 MLB season requires a sophisticated approach to ETL (Extract, Transform, Load).

We began with 30 individual .ICS files—each a siloed 162-game schedule—and aimed to transform the first 2,400 games of the cycle into a dynamic master database.

The architectural secret sauce?

A fascinating quirk where games are forwarded to a dedicated Email Box for ETL & storage. By sending these events to create@calendarsnack.com, the system extracts game data from a local Google or Outlook Calendar and loads it into an AWS pipeline. This process is run by an AI operator.

It houses the initial schema—game titles, dates, and times—that is waiting for ingestion. This approach treats the local client as a familiar, low-friction entry point for massive datasets, turning a simple interface into a powerful administrative staging area.

2. The Magic of the “1-Click” RSVP

The holy grail of digital marketing is the removal of friction.

Consider “Mandy,” a fan who just wants to stay updated. She doesn’t want to hunt through her inbox or manually type “1:10 PM vs. Yankees” into her phone.

She finds the MLB game, enters her email at the top of the page, and clicks one button to have the calendar invite sent to her.

Behind the “Send Invite” button on the schedule page sits a powerful REST API.

Specifically, API #1 reassembles outbound calendar data on-demand the moment the endpoint is called: /event/[uid]/invite?email=[invitee email]&name=[invitee name]&origin=[text]&landing=[url]

By leveraging a Unique Identifier (UID), the system reassembles the specific game data and fires a personalized invitation instantly.

This 1-click experience moves the event directly into the user’s personal life, transforming the calendar into a high-priority communication channel.

3.The AWS Engine: CRUD to the Cloud

The technical backbone of this transformation is a robust AWS stack. Utilizing SES for delivery, API Gateway for request handling, and Lambda for serverless processing, the system manages CRUD (Create, Read, Update, Delete) operations for thousands of invites simultaneously.

The most compelling aspect of this architecture is the “Remote Control” capability.

Because the server is synced to the organizer’s calendar, Greg (the organizer) can update a game time or location directly in his native Google Calendar workflow as CRUD.

The AWS backend detects the change and automatically pushes updates to the API content of the schedules and every fan who has the calendar invite with an updated one to thier inbox.

4.Data Collection of all RSVP’s from each Calendar Invite sent for each game from the schedule pages

This insures the calendar client data from your customer is collected and sent back for every event.

5.Turning RSVPs into Actionable Intelligence

In the world of standard email marketing, “Open Rates” are a vanity metric. In the world of Calendar Invite Server, we look for Actionable Intelligence. Through the Organizer Dashboard, we track not just who saw the message, but who committed their time.

The data reveals a story of deep engagement: with 296,907 total invites sent and a global RSVP rate of 30.3%, the scale is undeniable. Furthermore, we can track “Number of updates”—a vital data point for understanding league volatility and fan patience.

We also track precisely where the engagement originated, whether it was a Mailchimp campaign (24.4% of invites), Klaviyo (15.7%), or a direct API call from schedule pages (30.3%).

Conclusion: The Future of Attendance

The inbox has become a noisy, cluttered battleground where messages go to die. The calendar, however, remains deployed across 1 billion users a day—it is the one place where users actively manage their most precious resource: time.

By automating the distribution of 2,400 games, the MLB 2026 project proves that “owning the slot” is the new frontier for brand loyalty.

This technology isn’t limited to sports; it’s the future for concert tours, academic schedules, and recurring corporate events. The inbox is where the conversation starts, but the calendar is where the action—and the attendance—actually happens.

The Add to Calendar button does not collect RSVP’s of Y,N, M when downloaded, and the event cannot be updated by the organizer once it’s on the customer’s calendar.

Because the Add to Calendar button is generated and used for millions of events a day, it has become the standard workflow for event registration and reminders.

It is used in email and websites to “Mark Your Calendar”.

It is sometimes paired with the RSVP form to gather RSVP data independently of the .ICS is being downloaded.

These 2 steps are time-consuming for the customer and the organizer, creating friction and a bad overall experience, resulting in email reminders being sent for promotions, product launches, and post-registration to make sure “Its on your Calendar” .

Introducing the Calendar Invite Buttons

The Calendar Invite Button is a REST API with the Calendar Invite pipeline built in, usable in Email and Web use cases.

In this use case, when a customer enters their email address in the email field on the Sports Event Page and clicks a button, they receive a calendar invite for an NBA game.

The data is collected for Y, N, or M when they receive the calendar invite in their inbox and calendar client.

The Calendar Invite sent to the customer can be updated by the organizer to reflect changes to promotional offers, such as tickets, merch, and third-party insertions, before or during the event.

Organizer calendar invite event data is tracked and gathered in the reports.

Auto Generated Event Pages

The pages are auto-generated and formatted using a set of workflows and APIs that are part of the Calendar Invite Server packaged solution.

The calendar invite buttons for the individual sporting events are automatically injected into the pages.

Configuring the Sporting Events Page

The Multi Event configuration page helps the organizer determine the layout for Single or Multi Event, and how the Sporting Events should be visually laid out with colors, dates, and Optional Logos and background URLs.

When completed, the Sport Events page generates a shareable URL for your customers.

The compiled workflow looks like this when moving from the Organizer View to the deployed shared page, where the customer can select and receive calendar invites sent to the email address they insert into the Sport Event page.

RSVP Data Collection

When a customer selects a Y, N, or Maybe status in the Calendar Client, that data is sent to the API for collection and storage. If the customer changes their mind, the changes are captured until the event ends.

The workflow for the Sporting Event Page

1- Auto-generated Sporting event page is shared with the customer.

2- They insert their name into the email box on Sporting Page. Select the games by clicking one button to get the calendar invite.

3- Calendar Reciept RSVP information is gathered of Y, N, or M and sent back to the API for reporting.

4- A detailed report containing Y, N, M, and Email address can be sent to the organizer in a CSV file.

Getting NBA Data Into Calendar Invite Server

Nerd Alert - You may not be interested in this part.

Front End (FE) to Back End (BE). API’s and Workflow in AWS.

The tech stack is ready to be installed in any one of the millions of AWS accounts using a CloudFormation template that deploys the CI/CD pipeline for the Front End GUI, which is wired to the Back End (BE) Calendar Invite Server on AWS services.

The Back End (BE) Stack for the Calendar Invite Server includes 30 Functions and 9 APIs used for the Create, Read, Update, and Delete operations in the REST API pipeline for embedded calendar invite use cases.

Calendar Invites are sent from the Organizer's Calendar client to an email address determined by the Calendar Invite Server administrator.

In the demo, it is create@calendarsnack.com, which is a REST endpoint for processing Calendar Invite Event Data for the organizer.

The End Point attaches the organizer’s calendar invite event data based on the customers Email address from the Calendar Client.

The organizer’s email address becomes the User ID in the workflow for create, read, update, and delete for the CRUD workflows when communicating with the API.

The individual calendar invite UIDs for calendar events are stamped in the DB and tracked for New Events, Updated Events, and Canceled Event status.

If the Calendar Invite is changed by the organizer and resent back to the API, we match the status to keep track of the data.

The data changes are inserted into the DB so the APIs can pull the recent updates for display.

If a customer already has the Calendar Invite from the Sports Event Page and the Organizer makes an UPDATE or CANCEL to the event, the updated Calendar Invite is automatically sent to those who already have the previous one.

Example of Workflow of an Calendar Invite Update

The Calendar Invite update occurs for Merch, Tickets, or 3rd-party promotions.

It could also be an operational change, such as Date, Time, Location, or a Cancel, that needs to be pushed to all Calendar Invite holders on the list.

In the demo, our organizer Zach EDITS the Original Calendar Invite and UPDATES the Message Body with a “MERCH OFFER Booth 393 at the game 25% off only” message for the Denver vs. Timberwolves game, and SAVES in the Calendar Client.

This starts the UPDATE process because the Calendar Invite hits the same API endpoint as create@calendarsnack.com, which kicks off the workflow.

The Calendar Invite Event data is updated in the DB, and the API pulls the new data to the Sports Event page.

UPDATE Calendar Invites go out to all Customers that have received one already

Zack, the Organizer EDITS and Updates the event in his Calendar Client and SAVES the Calendar Invite and pushes the changes to the EMAIL API Endpoint for processing.

Because Mandy, the customer, got the first one from the Sports Events Page, she automatically receives the UPDATED one from Zack, the Organizer via API.

Calendar Receipt data is recollected and sent back to the API for the DB and reporting.

Reporting for the Organizer

The data is rolled up for individual events and all events for the Organizer using the API’s.

Reporting for the Domain Owner

All Calendar Invite Events processed by the API’s and used in Email or Sport Pages are tracked for all Organizers under the domain owner.

Because our tech stack is built on AWS as a calendar invite messaging pipeline, the Front End and Back End workflows can be operated by AI operators, Web Crawlers, and AI Agents for content visualization.

The journey of a calendar invite server pipeline begins with the Inbound Processor.

Event Organizers use a Google or Outlook calendar client to send individual calendar events to the create@calendarsnack.com event drop box for processing.

This email box is configured by the domain owner for organizers to send events for ETL of event information into the storage layer.

This cements the email address in Calendar Invite Server as the organizer of record.

Any more events sent from the calendar client with that email address are ETL’d and stored in the DB for future use under that Organizer ID.

Those individual games UIDS are Outbound Processor to send calendar invites using the Rest API in Email, Landing Pages, and Apps for specific UID’s.

Calendar receipts are requested for each calendar invite sent and collected by the API gateway for reporting Y, N, and M.

But how does Zack automate loading of games to his calendar client?

These files are uploaded to Zacks Calendar Client via an interface that supports batch uploading based on an .ICS file format.

The downloaded game files are then loaded by using the administration panel: go to settings, then upload the teams using the IMPORT Button and selecting the file from your computer.

This “batch” of games comes in various sizes dependent upon the NFL, NBA, or MLB.

This process is straightforward and easy to complete.

An option is to create the individual team calendars in the Google or Outlook calenar client.

This creates a layered filter that keeps the teams organized by choosing teams by the check boxes on the left side and uploading season of games for the indivudal teams.

Once completed, this allows the Organizer see the NFL, NBA, and MLB game schedules and send game data to the email drop box with the Calendar Client.

The Calendar Client then becomes the CRUD operator to the Calendar Invite Server messaging pipeline.

This sets up a possible workflow for AI Calendar Client Operator to take over some tasks, such as “Hey AI, go into my calendar and find all the events for the NY Mets, and open up each one individually and send a copy to create@calendarsnack.com for auto page creation and calendar invite button insertion.”

How to get NBA, NFL and MLB game data into the Calendar Inivte Server

In this demo, Zach is the organizer, and Mandy is the customer.

So Zach is the Event Marketer, and Mandy is a Sports fan.

Create, Update, and Cancel: Zach, the organizer, sends a calendar invite for a single game to a specific AWS SES API email endpoint (create@calendarsnack.com). off of his calendar client to inject data into the storage layer of the calendar invite server.

We call this the email drop box for the Inbound Processor.

This drop box can be configured to any naming convention needed when the domain owner is installing the calendar invite server.

Using the Calendar Client and the Auto generated Landing Page to Validate Data

Zach uses the calendar client and the auto-generated event page to verify that the data is correct on the page.

The auto generated event page is a shareable landing page with all Upcoming Events for the Organizer.

Below are a stock Event page and a custom-built page for the NBA as examples that are auto generated with Organizer Event data using the APIs.

Each event appears in chronological order, making it easier for the organizer to reconcile event information using their Calendar Client and the auto-generated Events page.

If anything needs to be changed, it is easy: go into that game in the calendar client, open the EVENT, make the changes, and SAVE.

This resends the updated or canceled Calendar Invite information to the drop box to process.

This updates the API data and storage layers.

Share The Calendar Invite

If a customer has received the calendar invite already the calendar invite server will send out the UPDATED Calendar Invite or a CANCELED Calendar Invite message out and request or recollect new Y,NM data back to the API gateway.

Examples include UPDATING Calendar Invite information for PROMOTIONS messages in the Calendar Invite Message Body.

Mandy gets a calendar invite for a specific game by inserting her email into the box and clicking one button to get the calendar invite for that game.

The Killer App Landing pages are auto-generated using VUE.JS and a Framework and included in the Calendar Invite Server package that works with the 9 APIs.

How the APIs display Calendar Event Data and build out the Calendar Invite Buttons in pages

The Calendar Invite Buttons have the specific UIDS embebded into them with the supporting APIs that are used in displaying event data in the page.

This is all automated when you deploy the solution using the Front End App NPM and the Calendar Invite Server CloudFormation template.

When Mandy selects one of Events using the workflow the Calendar Invite or Multiple Calendar Invites are sent to the email address she inserted into the email box and any calendar receipt data is sent back to the API gateway for collection and analytics.

This data is stored and then analyzed in the reporting pages with the display APIs.

The Future of the Calendar Client, the Calendar Invite Server and an AI operator

OLD WAY EVENT CREATE: An administrative user sends a calendar invite to the drop box to create 1000’s of events.

NEW WAY EVENT CREATE: The browser operator for the Calendar Clients sends 1000’s of calendar invites to the Email drop box for ETL and Storage using the ready-made calendar invite server workflows, functions, and APIs.

This could create large, auto-generated, shareable event pages for global sporting events, all automated.

OLD WAY Landing Page Visualization - Hand-created, limited template pages.

NEW WAY Landing Page Generation - AI will give the Organizer the option to select background images and layouts prior to sharing the page.

Generating the Lifetime Event Page for 1 Click

The Front End Stack

The Front End displays calendar invite data on web pages and in email as CTA codes for 1-click calendar invite sending and tracking.

The Calendarsnack Front End uses Vue.js, JavaScript, Arrays, Tailwind CSS, and HTML, along with APIs from the CalendarInvite server to display data and use the calendar invite messaging pipeline.

This is the design for visualization at scale that we have used for up to 2400 displayed events for MLB. So we know it will work in the 60-second Killer App version.

APIs

There are 4 Organizer APIs for single-event reporting and 1 for sending calendar invites when the 1 Click button is used.

There are 2 All Events for the Organizer: one that gathers all events into an array and one for all event statistics per Organizer.

The last 2 are for the Domain Owners, who gather all Organizer Data for Events and Statistics.

That is a total of 9 APIS for Organizer and Domain owners to gather calendar invite data.

These are available for your developers to build Calendar Invite solutions when you install the Calendar Invite Server and Front End Calendar Snack Kit.

The APIs, Domain, and Email reputation and security are all part of your AWS account. Our stack runs on AWS serverless and integrates with your AWS builders and operators.

Your designers can use the APIs and the Front End-ready Apps to build on those ideas for Email and Web scheduling solutions.

The Lifetime Event Page

Customer enters an email address at the top, selects the games with one click, and sends a calendar invite that is tracked and can be updated by the organizer.

The Organizer displays APIs used to generate the page using the VUE.JS framework, and a REST API that recreates Calendar Invites on the fly and sends and collects calendar receipts via the CTA Button labeled “Send Invite,” which triggers the UID-to-Email workflow in the background.

The Killer App Event Landing Page is proposed above in design, along with its implementation in Vue.js with APIs, a Color Selector, and a state-driven theme using buttons.

In this design generation, the proposal is to Land to this mini configurator if you have sent data to the calendarsnack gateway for ingestion.

Once that step is complete and the Organizer has data in the account for display, they head to this page to enter the email used in their Calendar Client to generate the calendar invite server data.

This takes the user to the Upcoming Events Landing Page, where the data is already in place to stylize colors, format content, and generate shareable social assets.

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized by Y, N, and M status.

If a status is updated by a customer, it is collected and updated in the Database for API consumption.

Ready to deploy your own AWS RSVP Engine

The Project is ready for download into your own AWS account, complete with installation instructions for Front and Back end, and an optional CI/CD pipeline for developers and production for GITHUB.

Step 1. Pick the Event from the VIP List Interface, also known as BULK Sending of Calendar Invites to an authorized list.

Washington VS Indiana is selected for Round 16 on Feb. 19th in the picker.

When the “Use Event“ button is clicked, that Event is loaded into the Bulk Uploader Interface for sending Calendar Invites to a List.

The Bulk Uploader is now ready to upload a TXT or CSV file via the picker in the browser interface.

This list has been loaded into the browser app and is ready to send.

Send VIP Invites is selected, and the email list is sent to the Outbound processor, which includes the Lambas for the REST API.

The button triggers the OUTBOUND processor, which houses the Lambda Logic and workflow for the REST API that packages the Calendar Invite UID data, sends a correct Calendar invite via the AWS SES RAW API to each email address on the list, and REQUESTS a calendar receipt for tracking back to the API gateway.

The stored Calendar Invite UID data is used via the Calendar Invite Send REST API endpoint to send Calendar Invites.

This REST API is a multi-purpose API used to SEND Calendar Invites for RSVP Buttons (e.g., Mailchimp), embed Calendar Invites in Sports Schedule Web Pages, and embed the API in a GUI Picker for selecting and sending Calendar Invites to a bulk email List.

In all use cases, the API matches the Email collected to the Event UID stored in DynamoDB, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW.

The calendar invites are crafted to request a calendar receipt from the customer’s calendar client for each event.

Calendar Invite Receipt Data Collection

Every Calendar Invite sent from the Outbound Processor requests calendar invite receipts for collection, storage, and decision-making. The calendar receipt is sent back to the API gateway and continuously monitored until the event time for that UID. We follow RFC 1554, which specifies how to collect calendar receipt data across calendar clients.

The Front-end CalendarSnack App communicates via 9 APIs, which in turn interact with 30 Lambda functions to build the GUI and generate workflows.

Workflow

The auto-generated game schedules are deployed by the organizer using the calendar invite server API’s.

The customer enters their email address, selects the games from the schedule with a single click, and receives a calendar invite for those games.

The organizer can review the status of customer calendar invite receipts in the reporting console and receive a detailed CSV report with a one-click in the reporting panel.

Populating the Calendar Invite Server with Data

Organizer Zack sends 1280 games to the inbound processing email inbox via his calendar client, ingesting the data into the calendar invite server (CIS).

The Inbound Processor is an SES API endpoint email address that triggers and completes the Storage, ETL, and DB functions for the Calendar Invite Data.

Organizers send data to the configured SES Mailbox to store, update, or delete data using the Calendar Client. This process creates a Mapped UID from the Calendar Client to the Calendar Event in the Calendar Invite Server and updates all data pulled for the API’s used to develop Multi-Event Mini Sites.

Details: Inbound data processor for the Calendar Invite Server

The calendar invite from Zack’s calendar client is copied to an AWS Simple Email Service (SES) email box from the organizer’s calendar client. In this demo, it is create@calendarsnack.com.

The calendar invite event data is disassembled and stored as a “NEW” Event in the DB, with a UID assigned to the organizer’s calendar client email address.

This attaches the organizer’s Email Address and event UID to the Calendar Invite Server Pipeline database to update or cancel the data using the Organizer’s Calendar Client if needed.

Updates using the organizer’s calendar client, such as “Edit and Save,” can occur an unlimited number of times before the event time expires using this workflow. Examples include changes to date, time, location, or message body. Or for promotional offers in the subject line, message body, or secret location.

Every time an edit and save are performed in the organizer's Calendar Client for that event, the data is sent to the Calendar Invite Server's Email Box for processing and database storage as an update. Cancel abides by the same workflow and can only be completed once. That data is not deleted from the database; it is marked as canceled.

Same Calendar Invite Server APIs are used to generate the stock NBA schedules and the custom event schedule

There are 5 Single Organizer, Single Event APIs, 2- All Events Single Organizer APIs, and 2- System/Admin APIs for All Organizers / All Events.

These APIs are used to generate pages for NBA Game schedules and to auto-populate calendar-invite REST APIs into those pages for Single-Click Calendar Invite Sending and Tracking.

The Calendar Client uses CRUD operations to interact with the Calendar Invite Server to create, update, and delete data in the Inbound processor Email box for SES.

The organizer can validate and modify data in the calendar client using the auto-generated NBA Live Schedule Page as a test target.

Any data changed in the calendar client and saved or sent to create@calendarsnack.com is updated or deleted in the DB for APIs to pull content changes.

The Outbound Processor

The stored Calendar Invite data is called using the Calendar Invite Send Rest API Endpoint.

This REST API is used to send Calendar Invites for RSVP Buttons (e.g., Mailchimp), embed Calendar Invites in Sports Schedule Web Pages, and embed the API in a GUI Picker for selecting and sending Calendar Invites to an email List.

In all cases, the API matches the Email collected to the Event UID stored in DynamoDB, reassembles the calendar invite data from DynamoDB using ETL functions, and sends the package via AWS SES RAW to the email address.

The calendar receipt is requested from the customer’s calendar client, retrieved, and sent to the API gateway, where it is stored in S3 and then processed in DynamoDB for Analytics and decision-making.

Whenever the organizer changes data in the calendar client, the changes are sent back to the server and updated.

Calendar Invites Sent by Outbound Processor

API #1 is auto-embedded into CTA buttons in Web Pages and Email Marketing software using our technology stack: API #1 Send Calendar Invite Endpoint: /event/[uid]/invite?email=[invitee email]&name =[invitee name]&origin=[text]&landing=[url].

On the Stock or Custom Game Schedule pages, the organizer's event array is sorted, styled with Tailwind, and displayed according to the design, with API #1 embedded to send one-click calendar invites to the email address provided in the email box.

APIs #2 and #3 are used to populate the schedule page data, along with API #1.

The Update Processor Logic

The Update Processor encompasses the logic implemented in the functions that automate sending updated or canceled calendar invitation messages from the Organizer’s client to the Inbound processor for a previously created calendar invite. Another way to look at it is that if the record for the UID is in the DB for a future event, the function knows this is an updated Calendar Invite Request. If so, it sends the newly UPDATED Event Information to the Outbound Processor, which uses AWS SES RAW to create an updated or canceled Calendar Invite package and send it.

The organizers’ data in the Dashboard and Landing Pages are also updated or marked canceled to reflect the current state of the Calendar Event UID using the REST APIs. Examples for the Organizer include Calendar Invite date, time, location, or message body changes for promotional offers, or canceling the calendar invite, that need to be sent after the customer has received the first calendar invite.

An Updated Calendar Invite is sent to customers who have received the first Calendar Invite and responded with ‘Y’ or ‘M’, based on the UID. Calendar Receipts are requested again and sent back to the API gateway for Y/N/M responses for the updated Event UID. A Canceled Calendar sends a correctly formatted message that removes the calendar message from the Calendar Client GUI. This process is automated and requires no approval.

A workflow switch can be enabled to require manual approval before sending Updates or canceling calendar invites for the organizer.

Details on how the Calendar Invites keep the status of the customer prior to the event

The Calendar Invite sent by the Calendar Invite Server API#1 requests a calendar receipt from the customer. Calendar Invite receipts are collected by the Calendar Invite Server API Gateway, and the data is summarized for Y, N, and M statuses for each event UID.

If a status is updated by a customer in the calendar client, the new calendar receipt is sent back to the API gateway and collected and updated in the Database for API consumption.

Specific Technical details for each Calendar Invite include the following parameters generated for all Calendar Invites sent by API #1 per the RFC.

Detailed Organizer Event Reporting

Event reporting for each UID includes the UID# generated and Calendar Client type used to create the event, Date, Time it was created, Event Details such as Title of Event, Date Start, Date End, Message Body, Location, and Google or Outlook Meeting URLs, and how many times the Event has been updated or canceled.

Then we collect which source channel API#1 was used, such as Web Embeds like Schedule Event pages or Email Marketing uses like MailChimp, SendGrid, or HubSpot.

The Events are selected from a picker of all events using API #2 and #3, with #5 used for the Report Button, which emails RSVP details to the Organizer for that event.

• Cancellations: If an organizer cancels an event in their calendar client, the event is automatically removed from the landing page. A cancellation notice is sent to all customers who received the initial invite, and the event is also removed from their calendars.

• Unsubscribing: Customers can stop receiving updates for a specific event by responding “No” (RSVP “NO”) to the calendar invitation.

Each organizer has access to a private dashboard that summarizes their event performance. This includes an “Organizer Snapshot” and detailed per-event reports.

For each individual event, organizers can view a detailed report that includes:

• RSVP breakdown (Accepted, Declined, Tentative).

• Event Details: Status (e.g., Confirmed, Past), Creator Email, Creation Date/Time, Last Update, Number of Updates, and the originating Calendar Client (e.g., Google Calendar).

• An option to email the invitee report as a CSV file.

Domain Owner-Level Reporting

The “CalendarSnack Domain Owner Reporting Console” provides a top-level view of all activity across all organizers.

• Aggregate Dashboard: Summarizes system-wide statistics, including Total Invites Sent (e.g., 296,607), Total RSVP Received (e.g., 72,775), and the overall RSVP Response Rate (e.g., 24.5%).

• Event Filtering: The console allows filtering and sorting of all events by Date Created, Event Start, and Organizer Email. It displays counts of all created, recent, future, and past events.

• Filtered Schedule Page: A configurable page that can be pre-sorted by a keyword (e.g., “Denver”) to show a specific subset of events from a larger schedule. Layouts can be customized with different headers (Banner, Hero) and color themes.

Alternative Invitation Methods

Beyond the landing page, the Calendar Invite Server API enables other methods for sending invites that customers get when generating the calendarsnack.

• RSVP Button for Email Marketing: Organizers can generate a CTA link for email platforms like Mailchimp, Klaviyo, Sendgrid, and Hubspot. This link uses email merge codes, allowing a customer to receive a calendar invitation with a single click from within an email campaign.

The Outbound Processor calls the Calendar Invite Messaging pipeline REST API, reassembles the calendar invite data for that UID, builds a calendar invite for that game, and sends it to the requester’s email address.

Greg gets the calendar invites to his email address and see’s them in his google mail and calendar clients as a calendar invitation.

He says Yes to a few and maybe to one.

The calendar receipt data is sent back to the calendar invite server API Gateway for calendar receipt collection storage and analytics.

The Outbound Processor is a Rest API that is embedded into the web pages of the custom NFL demo application sends, tracks, updates and deletes the calendar invites.

Above is the workflow of how the Calendar Invite Server API’s serve up the data collection from various calendar invite campaigns into the reporting displays for Mandy the Organizer using the CalendarSnack App.

Mandy navigates to the December 21st week to view the calendar invite campaign data collected from the calendar clients of customers for this particular day.

Mandy is able to use the calendarsnack reporting panels to drill down into the NFL game Day for Sunday, 12/21/25. Or Week 16.

Then, into the specifics of Sunday for the New York Giants vs. Minnesota Vikings - NFL 2025 Round 16 - 12/21.

Mandy sees Calendar Invite Data for the New York Giants vs Minnesota Vikings - NFL 2025 Round 16 and decides to change the calendar invite messaging to include a promotion of “Stop by our Surprise Vendor Booth 983 at the NFL Game and get a free $125 Valued NFL Jersey”.

The promotion update will be sent to those customers who have already responded Y or M to the Calendar Invite from Mandy sent by the Calendar Invite Server.

Greg has the calendar invite shown above in his Google Calendar. It was sent by the Outbound processor on the Calendar Invite Server, which is hooked to the NFL Demo Landing Page Schedule.

It is a series of functions that make up the REST API for sending calendar invites when called with a UID in WebPages, like the NFL demo.

It matches the Email address with the UID, sends the calendar invite, and tracks calendar receipts from customers’ calendar clients (Y, N, or M) by requesting them to be sent back to the API Gateway for storage and analytics.

Mandy changes the data in her Calendar Client for the New York Giants vs Minnesota Vikings - NFL 2025 Round 16 and its resent to the Inbound processor.

That data is disassembled, stored, and called by the Outbound processor, which is a series of functions that reassemble the updated data and send the calendar invite Update to those customers who have responded Y or M to the previous calendar invite.

Mandy can edit and update any parts of her Calendar Client for the Event as needed and resend to the Calendar Invite Server.

NERD ALERT - How Calendar Receipt data Collection works.

Each Calendar Invitation sent by the Calendar Invite Server includes a UID request parameter that requests calendar receipt data be sent back to the API Gateway for storage and analytics.

The customers’ calendar clients are monitored, and data is collected and updated in the database whenever a customer changes the status to Y, N, or M.

Updating any data on the Landing Page is done from the Organizers Calendar Client using the same UID workflow. That is using the Calendar Client for that event and editing it and saving it.

Instead, it automatically sends the updated calendar invitation only to customers who have already responded with ‘Yes’ or ‘Maybe’. This respects the audience’s attention by targeting updates only to those who have expressed interest.

Similarly, if the organizer cancels the event, a cancellation notice is automatically sent to everyone who received the initial invitation, ensuring no one is left with an outdated event on their schedule. A key technical detail is that the event data is not deleted from the database but is “marked as canceled,” preserving the record of the event. While this entire process is automated by default, a manual approval workflow can be enabled for organizers who need more oversight.

Why did you build the Calendar Invite Server on AWS? Because sending emails for events with RSVP forms, ICAL downloads and reminder emails is a big internet mess. Each step for the organizer involves data input for setting up the RSVP Forms for Y, N, M Data Collection, and then a second step of ICAL Generation for the 4 Download Buttons of Yahoo, Google, Outlook, and Apple.

Then the organizer sends a reminder email, which asks whether the event is on your calendar. This whole process can be collapsed by sending one calendar invite first, gathering RSVP receipts and sending updates to those that have agree to come directly to the calendar.

For the customer, the mess is the ICAL download to the right calendar and then having to fill out the RSVP Form as two separate steps. Then the customer receives another email as a reminder to show up.

Why send a calendar invite? Because it appears directly in the customer’s email inbox as a calendar invitation, and it requests an RSVP by the organizer which is constantly monitored for changes and the calendar invite can be updated by the organizer with the Calendar Invite Server Rest API.

How does it work on a Landing Page? Customer enters an email on the Landing Page, selects the event from the picker, and clicks the button to get a calendar invite which is tracked and can be updated.

How does it work in an EMAIL CTA button? The customer clicks a button in MailChimp, Klaviyo, or SendGrid, and receives a calendar invite which is tracked and can be updated.

How does it work in the VIP APP? The organizer selects the event, uploads an email list, and sends the event with a single click which is tracked and can be updated.

How does the calendar client talk to the calendar invite server? The calendar client talks to the calendar invite server by an email box address assigned by the domain owner. The email Address is attached to an AWS Email box that receives calendar client data, disassembles the calendar invite event, and transforms the event data for storage in a database with an assigned UID. When the REST API is called for that UID, the calendar invite server reassembles the information, sends a calendar invite for that event, and collects the RSVP receipts.

The Calendar Invite Server creates the APIs codes for the events and stores them for recall by using the rest API for sending calendar invites in web, email and apps. The Calendar Invites are constantly monitored and can be updated by the event organizer Mandy.

The messaging pipeline starts with the Inbound API EndPoint of the Email Box assigned by the domain owner

Event Organizers use their calendar client and an email box assigned by the Calendar Invite Server Owner for processing calendar invite data injection. Anytime content is sent or updated to the email address it will appear in the Organizers Calendar Invite Server Console.

Mandy’s Calendar Invite Server console has View Calendar Events, Send Calendar Invites Options and Get Calendar Reports. All the data in the calendar invite server comes from her sending calendar invites to the email address drop off box for processing. She can Update the Event Data in the Calendar Client anytime which Updates the data in the Calendar Invite server and the API sends Updated Calendar Invites to customers automatically with the new information and collects any changes in the calendar receipts.

The organizers receive an email event notification within 2 minutes with their API codes for landing pages, email RSVP buttons and VIP List calendar invite sending options using the calendar invite server messaging pipeline.

Mandy can select one of 3 ways to deploy the solutions for sending calendar invites for one event. Built in RSVP Landing Pages, Email CTA RSVP Codes and a VIP RSVP App for small batch calendar invite sending to a List.

Mandy is the Google Calendar Client Organizer; she starts off by first organizing the events on her Google Calendar using her Calendar Client to get the specific event details together. In this example she gather’s the NFL Game Schedule and sent the individual events for the NFL to the calendar invite server email box. In this demo the email box name is create@calendarsnack.com.

Data can be changed in the calendar invite server by using the calendar client used for the creation of the first event. Organizers use the calendar client to change and save the event in the client. That pushes the new data to the calendar invite server for that UID and those changes are automatically updated in the DB to be used for console display and API codes for deployment in one of the 3 options.

When Mandy Logs into the (CIS) calendar invite server console she is presented with event dashboards and can access her 3 options to send calendar invites using the Rest API for each event listed.

1.The Landing Pages are pre built and ready to deploy as an URL with the embedded calendar invite API and an email box.

2.The RSVP Buttons are embedded API calendar invite codes for CTA insertion into Email Providers like Mailchimp.

The Organizer uses the Calendar Client to create, update or delete information in the Calendar Invite Server by sending to the Inbound API for processing

UPDATE 1- Mandy Inserted “Stop by NFL VIP Booth 652 at the Game to get a Free T-shirt valued at $25” into the message body of the original calendar invite on her google client and saved. This resends the original calendar invite message with the UID that was ingested in the Inbound API Endpoint. We track each message that hits the Inbound API and look it up in the DB to confirm if the EVENT is NEW or an UPDATE of an existing EVENT and resend any additional UPDATES in the calendar invite messaging pipeline to APIs, DB and the Out Bound API if needed.

Anyone customer who has the calendar invite from the calendar invite server rest API for the Event will get the UPDATE 1 from Mandy using the Outbound Processor. The Calendar Invite Server Apis keep track of the calendar invite event content and tracks new RSVP responses from UPDATED events. The Update counter is advanced to 1 in the APIS and shows in the Calendar Invite Console.

What Zack the customer see’s as Update 1 is sent by the Mandy the Organizer in his calendar client

Zack the customer gets UPDATE 1 Calendar Invite from CIS and responds Maybe to Mandy (Tentative). Mandy the Organizer see’s the Updated Tentative response from Zack in the CIS Dashboard.

UPDATE 2- Mandy changes the Original Game Data to add a Promotion in the message body of “Stop by NFL VIP Booth 750 at the Game to get a Free Jacket valued at $125” and saves the change.

Other Options for Mandy the Organizer to Send Calendar Invites with the REST API Codes?

Option 2- Using the Email RSVP Button Codes in Email Templates for One-Button Calendar Invite Sending from the Calendar Invite Server.

This is a great option if Mandy already has an email list she regularly sends to for Email Marketing. This inserts the calendar invite into the MailChimp Campaign for the customer’s one-click calendar invites. Mandy the Organizer uses the pre-built MailChimp API Codes for the event to insert into the NFL Campaign.

When the customer clicks the RSVP CTA, they receive the calendar invite and are redirected to a landing page. The Calendar Invites are tracked and can be updated by the Organizer.

Option 3- Using the VIP List Manager App for One-Button Calendar Invite Sending to a Small Batch List. Mandy the Organizer uses the VIP List Manager App as the third Option for the NFL Campaign. This is a great option if she already has permission to send calendar invites from customers and to use the VIP App to send small batches of 1,000 emails to a list.

These receipts are collected by the API Gateway upon delivery and again when the user responds (Yes, No, or Maybe). The RSVP statuses are summarized, and any updates are immediately persisted across the storage tiers: the data is inserted into the primary database for API reporting, archived in S3, and processed into DynamoDB to fuel real-time analytics dashboards.

The following example deconstructs an NFL promotion, tracing the flow of data from the event organizer’s calendar client through the server’s pipeline to the end-user’s calendar and back to the analytics console.

1. Initial Data Ingestion The organizer, Mandy, begins by injecting 272 NFL game events into the system. She accomplishes this by simply sending the events from her Google Calendar to the designated API endpoint email address. The server ingests and processes all 272 games automatically.

2. Frontend Application Development Using the server’s 9 APIs and the Vue.js framework, a developer builds a custom website that displays the full game schedule. The collection APIs (#2-7) are used to pull and sort the event data by week and region for display on the site.

3. End-User Interaction An end-user, Zack, visits the promotional website and finds a game he wants to follow. He enters his email address and clicks a button to subscribe. This action triggers the Send API (API #1), which immediately sends a personalized calendar invite for that specific game directly to Zack’s inbox.

4. Dynamic Event Update Later, Mandy decides to add a special promotion to the game. She edits the original event in her Google Calendar, adding the promotional details, and resends it to the same API endpoint email. The server recognizes the unique event UID and processes this as an update to the existing record.

Legacy Methods (Add to Calendar / RSVP Forms)- User downloads a static .ics file that matches the calendar client they use and fills out a separate web form for RSVP response. The connection ends after this initial action and there is no validation that it worked. It’s outdated and does not collect RSVP data from the Users Calendar Client.

Calendar Invite Server (CIS) Advantage - Sends a direct, client-to-server calendar invitation, creating a persistent, updatable entry on the user’s native calendar. This establishes a direct communication channel, not just a static file download. This is based on the IETF way of sending, tracking and updating Calendar Invites.

This requires a RSVP form as a separate work flow for the End User and Organizer to fill out to determine intent but does not guarantee the event is on the customers calendar. The Organizer and Digital Marketer has to attempt to tie together on the Web page or the Email Marketing Campaign for the End User.
